Xi’an Jiaotong-Liverpool University (XJTLU), in partnership with the Taicang City Government, is now planning to open a brand new XJTLU campus in the city of Taicang. Situated around 50 kilometers from both Shanghai and Suzhou, the campus is expected to welcome its first student intake in Sept 2020 with anticipated growth to a community of 6,000 students by 2025. Taicang campus will support a model known as “Syntegrative Education”, tailoring its activities to the needs of future industry and enterprise, and also include a unique Entrepreneurs College as part of its mission to promote and enable innovative educational reformation. This new initiative will see students benefit from a high calibre, international higher education experience with the opportunity to study both in China and in the UK. In addition, new and innovative links will be formed between XJTLU, industry and the local community in Taicang, supporting sustainable development and opening up opportunities for students to spend time working with and within the city’s expanding industrial base. Taicang campus will also reflect XJTLU’s wider ambitions, to test the new concept of a university and campus for the future, to enhance its reputation for research; and to provide a model for social service.


The Taicang Project is expected to take two years and nine months: started in January 2018 and expected to be completed in September 2020 when the campus will be officially open.


Responsibilities and duties


Communication & Liaison


Support the Project Director to develop and track project status, including detailed project plans and key project deliverables;


Assist project members in handling project related events, and implement defined tasks to meet the timelines for the projects;


Coordinate and organize project meetings internally or, with both internal and external participants;


Follow up project documents and plans as required by the Project Director;


Answer routine enquires and explain plans and procedures relate to the project as required;


Assist in the wider communications of project activities to ensure effective project team member engagement;


Provide non-confidential information relate to the project to staff members in the wider University and/or external stakeholders as required


Paperwork


Prepare meeting invites, agendas and documents as directed by the Project Director;


Take and circulate meeting minutes related to the project in a timely manner;


Support in writing project reports required by stakeholders, including University SMT, Taicang government offices, Jiangsu Department of Education (DoE), Ministry of Education (MoE);


Provide periodic dashboards, trackers, and status reports to internal and external stakeholders;


Establish project filing and record system and implement project document inventory management process;


Undertake collection, collation and maintenance of project information and data as directed by the Project Director.


Knowledge and skills


Knowledge and experience of project and business management;


Knowledge of the HE sector;


Exposure to large capital project or new organization establishment;


Effective communication and presentation skills;


Experience of supporting the delivery of a broad range of projects;


Experience of managing the contribution of other staff to achieve deadlines;


Experience of engaging with a broad range of stakeholders and managing stakeholder relationships;


Experience of report writing for a variety of audiences;


Strong organization and planning skills, with good attention to details;


Competent with required computer skills including appropriate project management software;


Experience of working in culturally diverse work environments.


Qualifications


University bachelor degree and/or relevant experience, preferably in project/business/administrative management;


Ability to operate seamlessly at a high level of competence in both Modern Standard Mandarin and English, oral and written communication skills.
