POSITION:                          Receiving Clerk

REPORTS TO:                     Director of Purchasing

DEPARTMENT:                  Purchasing

STATUS:                              Non-Exempt

 

JOB SUMMARY                                                                                                                             

This position exists to receive, inspect, approve or reject, store, and distribute items received; and to issue food, beverages, supplies, and operating equipment in accordance with established procedures.

 

ACCOUNTABILITIES                                                                                                                  

The Receiving Clerk is responsible for ensuring that all stock items are kept at par levels, and all items necessary for hotel operations are received in a timely manner and in acceptable condition.

 

QUALIFICATIONS AND STANDARDS                                                                                               

EDUCATION

  • High school diploma and/or experience in a related field

TOOLS AND EQUIPMENT

  • Adding machines
  • Pallet jack
  • Flat bed
  • Hand truck

PHYSICAL REQUIREMENTS

  • Long hours sometimes may be required.
  • Very heavy work – Exerting up to 100 pounds of force occasionally, and/or 50 pounds of force frequently, and/or 20 pounds of force constantly to lift, carry, push, pull, or otherwise move objects.

MENTAL REQUIREMENTS

  • Must be able to convey information and ideas clearly.
  • Must be able to evaluate and select among alternative courses of action quickly and accurately.
  • Must work well in stressful, high pressure situations.
  • Must maintain composure and objectivity under pressure.
  • Must be effective at handling problems in the workplace, including anticipating, preventing, identifying, and solving problems as necessary.
  • Must have the ability to assimilate complex information, data, etc. from disparate sources and consider, adjust, or modify to meet the constraints of the particular need.
  • Must be effective at listening to, understanding, and clarifying the concerns and issues raised by coworkers and guests.
  • Must be able to work with and understand financial information and date, and basic arithmetic functions.

 

OTHER ABILITIES, SKILLS, KNOWLEDGE                                                                        

Knowledge of liquors, wines, and special food items helpful.

 

DUTIES AND FUNCTIONS                                                                                                         

ESSENTIAL

  • Approach all encounters with guests and employees in a friendly, service oriented manner.
  • Maintain regular attendance in compliance with Fairmont Standards, as required by scheduling which will vary according to the needs of the hotel.
  • Maintain high standards of personal appearance and grooming, which include wearing the proper uniform and name tag while working.
  • Comply at all times with Fairmont standards and regulations to encourage safe and efficient hotel operations.
  • Keep pars on wine and liquor, notify controller when pares deviate.
  • Notify ordering department when good arrive.
  • Receive wine and liquor according to schedule, inspect for proper quantity, pricing, discount, extend prices, and totals.  Inspect wines for correct vintner and vintage (year).  Secure goods in appropriate storage areas.
  • Receive operational supplies etc., verify quantity, price, discount, extention, and total, and stock to set pars.  Secure as appropriate.
  • File completed/approved purchase orders in alphabetical files as appropriate.
  • Receive food, verify quantity, price, discount, extention, and total, and notify chef on duty of any shortages.
  • Date all items as required.  Rotate stock of all food items on a first in first out basis.
  • Ensure that all items received are in good condition.
  • Refuse damaged goods or goods sent without a purchase order.
  • Fill out all required departmental requisitions as appropriate.
  • Handle incoming and outgoing packages according to company standards.

 

MARGINAL

  • Bring all price changes to the Director of Purchasing.
  • Act as Accounting representative during inventory.
  • Clean storeroom and receiving dock area as needed.
  • Other duties as required.
