Description of Duties
Reception:
? Greet and show visitors to waiting area or meeting room. Serve drink.
? Answer incoming calls in a pleasant manner and forward calls to appropriate colleagues, or leave messages where necessary. Screen some inappropriate phone calls.
? Send, distribute and record courier/mails in time to save cost and avoid losses.
Routine Administration:
? Purchase, store and hand out necessary stationeries & commodities to staff.
? Liaise with property management and green plant vendor to ensure all the facilities work well.
? Reserve internal meeting room and external meeting venue. Update booking record and meeting arrangement.
? Arrange and follow up the payment application form (incl. rental, property management fee, courier/express, office suppliers, etc)
? Furniture maintenance when necessary.
IT liaison and support:
? Public facilities maintenance. Provide necessary training to all employees on how to use facilities such as VC, IP phone call, printer etc to make sure everyone can use them. Fix some regularly occurred errors of the printer, fax machine, paper shredder, duplicator etc.
? Liaise with IT vendor’s engineer and regional IT support person for email account or other technical support for staff. Help solve technical problems.
? Purchase computer, pad, computer accessories, etc in due course to new employees and as required. Look for relevant vendors and compare quotations to save cost.
Other work and support to other departments:
? Book air tickets and train tickets for all as required.
? Handle office decoration where needed.
? Help with staff activities arrangement, trips, and Dinner & Dance.
? Support business team with other work when required.
QUALIFICATIONS (Required knowledge, skills, education and experience)
Knowledge and Skills
? Associate degree or above, better if major in English or business administration, etc.
? Good at communication and cross function collaboration
? Good at time management
? Strong sense of service.
? Proactive, detail-oriented, result-driven.
Language
? Can speak English (for incoming calls, visitors etc.), can write or reply emails in English
