Position Summary:
Travel to provide support at multiple customer facilities during scheduled and unscheduled PTO, leave of absence, site training and open positions; in some cases for extended periods of time.
Duties include:
- Cover the portfolio of services at customer locations which may include order entry and customer service, inventory management, use customer procurement systems, stockroom services, desk top delivery, shipping/receiving, glass washing, media preparation and chemical management.
- Conduct Site Audits.
- Provide Post Coverage Analysis including recommendations for operational processes improvements and provide documentation of Corrective Actions.
- Provide necessary reports for sites to prepare for Annual Physical Inventories:
- Generate stock reports from RIMS to prepare for API’s
- Provide administrative support for reconciliation of reports for finance
- Make adjustments to RIMS post inventory
- Training Coverage:
- Provide coverage for new employees attending systems training
- Provide site specific training on site operations including proprietary customer systems.
- Assist in updating SOP’s, Work Instructions
- Provide Subject Matter Expertise in Best Practices for Order Management, Inventory Management, Glassware Washing, Media Prep and Chemical Tracking.
- Obtain and maintain all necessary certifications to support all site operations such as:
- IATA and DOT certifications
- Fork truck
Job-Specific Duties may include:
- Inventory Management:
- Stockroom / POU management, dispensing of product, and direction / coordination of affiliated stockroom activities.
- Perform on-site program replenishments and disbursements.
- Perform stockroom duties: receiving, put-away, stock rotation, cycle counts.
- Remove cardboard and trash as needed (detrashing).
- Desk- top delivery to end users.
- Sourcing/Order Management:
- Perform order entry, order expediting, customer service support, RGA’s, expedite backorders, create quotes.
- Facilitate vendor and customer interaction, problem resolution, executing 3rd party & agent buys.
- Chemical Management:
- Receive, register and track all chemical containers throughout the facility.
- Perform routine audits of chemical inventory database and inventory reports.
- Bar Code Labeling, distribute chemicals to facility
- Follow all safety guidelines related to the handling and movement of chemical containers.
- Glassware Washing:
- Daily pickup of dirty glassware from labs and replace with clean glassware
- Provide glass washing and sterilization services maintaining a constant supply of clean and sterile lab glass.
- Maintain glass wash schedules
- Perform inspection of glassware for cracks, breaks, and scratches.
- Record glass wash statistics and maintain site metrics
- Maintain inventory of glassware in locations throughout the facility.
- Maintain required supplies for glassware washing and sterilization operations.
- Follow all GLP/GMP guidelines as required.
- Media Preparation:
- Monitor stock levels and prepares routine lab reagents, buffers, tissue culture materials and any other solutions.
- Prepare custom media and coordinate with scientific staff on formulation
- Follow all GLP/GMP guidelines during the preparation as required and maintain appropriate records.
- Perform autoclaving/sterilization of liquid materials as required.
Essential Functions:
- Handle all site operations and duties for optimal outcomes to maintain standards of excellence.
- Operate across a wide variety of services such as Dock Management, Order Management, Inventory Management, Chemical Management, Glassware Washing and Media Prep; Perform training and assessment responsibilities with a high level of success.
- Perform Safety Audits while on site to ensure Regulatory, Finance and Safety standards are maintained.
- Conduct operational assessments while on site and provide recommendations on operational improvement opportunities.
- Report RED Flags affecting site operations for corrective action.
- Partner with Site Implementations ensuring new engagements successfully meet contract obligations. Provide additional training to site personnel if needed.
- Promote personal growth and development by staying abreast of new policies and enhancements without the presence of supervisor.
- Listen to customer concerns, effectively diffuse dissatisfaction, and quickly identifies course of action with a goal of first call resolution.
- Attend required training sessions.
- Positively represent Thermo Fisher Scientific at all times throughout customer locations.
- Participate in projects and perform other duties as assigned.
- High School Diploma
- Must have three to five years of progressive relevant experience
- Ability to establish and foster positive customer relationships
- Strong communication skills and proactive approach in all duties
- Demonstrate expertise in the ability to identify inefficiencies in any process and make recommendations for improvement
- Ability to instantly adapt to a flexible and changing schedule
- Ability to self-manage and operate independently
- Demonstrate a sense of urgency in completing work assignments
- Demonstrate a high level of accountability for site coverage duties
- Proficient verbal and written communication skills; computer skills/Microsoft office
- Good time management and organizational skills
- Ability to lift up to 50 lbs.
- Ability to work beyond the normal business hours
- Ability to travel extensively up to 70 – 80% of time
- Must be able to pass a respirator fit test to wear a respirator for chemical management services
Non-Negotiable Hiring Criteria:
- Willingness and ability to travel extensively and work in a wide variety of environments.
- Possess valid driver’s license.
