The Role: The Office of the Registrar serves several constituencies within the School including students, faculty, staff and alumni. The Registrar’s office is central to implementing the School’s new Student Information System (SIS). In addition, the Registrar’s Office is charged with a range of tasks critical to the effective and efficient operation of the academic programs of the School including: supervision of class scheduling, the preparation of degree audits for review by Juilliard New York, enrollment reporting, academic record maintenance, verification and retention, and transcript production. The Registrar is responsible for implementing school policy, advising students on academic matters and insuring the integrity of the student database and student records. The Registrar oversees the registration process, provides liaison services to Academic Affairs related to curriculum coordination and advisement, and serves on the Scholastic Standing Committee. The Registrar also serves as a key member of the Enrollment Management team.

The position reports primarily to the Associate Dean of Academic Affairs with project-based supervision from other senior staff.


Job Responsibilities:

  • Assists and ensures the implementation of the student information system (SIS) through development and documentation. The Registrar also plays a key role in ensuring the SIS integration between The Tianjin Juilliard and The Juilliard School in New York.

  • Oversees the set-up of academic programs, grading scales, courses, sections and registration in the SIS vendor’s system.

  • Regularly updates, maintain and access student records with accurate data entry and appropriate retrieval/reporting in SIS.

  • Ensures the system maintenance of degree audit and curricular/academic program changes.

  • Evaluates administrative processes to identify workflow, functionality and faculty/student service through SIS.

  • Ensures the integrity and accuracy of student data imported from Admissions (or from Slate) into SIS.

  • Serves as the School’s authority on transcript evaluation, residency, registration and degree completion.

  • Coordinates with Juilliard New York to ensure the accuracy and dissemination of student transcripts.

  • Works closely with the Associate Dean of Academic Affairs to develop academic policy and assures smooth implementation of academic policy.

  • Works with Associate Deans of Enrollment Management, Student Affairs and Academic Affairs in developing and implementing service-oriented policies and procedures which support the School’s academic mission and are in compliance with local laws, School policies and policies applicable to higher education in the US.

  • Works in collaboration with all campus constituents to provide leadership in the implementation of appropriate technology and processes to enhance services to students and faculty.

  • Serves as a member of the Scholastic Standing Committee, which monitors student progress and considers student requests and petitions.

  • Provides the Office of Academic Affairs with periodic grade reports for Scholastic Standing review and course rosters for course evaluations.

  • Provides institutional research support, coordinates the School’s responses to external surveys, and prepares and distributes statistical reports and lists within The Tianjin Juilliard community. Prepares statistical reports as requested by The Juilliard School in New York.

  • Works with the HR office to facilitate obtaining visas for international students.

  • Maintains the integrity of Pre-College student data in SIS and advices the Pre-College Office regarding TJS academic policy and best practices.

Qualifications:

  • Bachelors degree required. Master’s degree in student services, education, business or closely related area preferred

  • English language fluency is required; Mandarin fluency is preferred.

  • Demonstrated knowledge of current technology in academic records and student information systems.

  • A minimum of three years of progressively responsible experience in managing and implementing the policies and practices associated with the responsibilities of a Registrar’s Office.
  • Strong working knowledge of the rules, regulations, and laws in China and, ideally also the United States, regarding student records and the standards of student recordkeeping practices in higher education with demonstrated personal achievement working with student records and academic policy enforcement.
  • Demonstrated experience analyzing course prerequisites, certification, and/or curriculum/graduation requirements, degree conferral and knowledge of student registration, academic, and residency requirements.

  • Demonstrated success as a collaborator and relationship-builder, demonstrating strong interpersonal skills and the ability to forge effective partnerships and coalitions with students, faculty and staff in Tianjin and to collaborate with the Registrar’s Office in Juilliard New York.

  • Fluent in the use and understanding of information technology.
  • Data savvy with proven ability to utilize data in the analysis of decision-making and operations.
  • Demonstrated success as a member of a team implementing a university strategic enrollment management plan.
