Reservations Supervisor (maternity leave coverage)

• The schedule for this role is Monday to Friday, 8:30am to 5:00pm. There may be times when scheduling flexibility is required with advance notice, however the schedule is mostly fixed.

What you will be doing:

• Consistently offer professional, friendly and engaging service
• Supports customer loyalty and property’s brand standards by delivering service excellence throughout each customer experience
• Executes exemplary customer service to drive customer satisfaction and loyalty by assisting the customer and ensuring their satisfaction before and during their program/event.
• Handles guest complaints and disputes following appropriate procedures
• Gains understanding of the property’s primary target customer and service expectations; serves the customer by understanding their business, business issues and concerns, to offer better solutions
• Uses negotiating skills and creative selling abilities to close business
• Monitors same day selling procedures to maximize room revenue and control property occupancy
• Assists in monitoring group reservation forecast data
• Coordinates with Sales and Catering to process rooming lists and other types of group blocks
• Responsible for setting up proper billing accounts according to accounting policies
• Processes all reservation requests, changes, and cancellations received by phone, fax, or mail
• Tracks no-show reservations and processes charges as needed
• Checks daily arrivals to ensure all necessary billing instructions are applied to reservations
• Produce daily, weekly, monthly and quarterly reports as required 
• Lead and manage all aspects of the Reservations department and ensure all service standards are followed 
• Develops, implements and maintains a departmental orientation program for Reservation Agents to receive the appropriate new hire training to successfully perform their job
• Utilizes all available on the job training tools
• Follow department policies, procedures and service standards
• Other duties as assigned 

Your experience and skills include:

• Service focused personality is essential and previous front of house experience, minimum 2 years, in a similar setting is required  
• Computer literate with knowledge of Microsoft Office; prior experience working with a Property Management system is an asset
• Previous leadership experience in a rooms division setting is an asset
• Communicate thoughts, actions and opportunities clearly (both written & verbal) with proven networking/interpersonal skills
• Proven ability to build and maintain good relationships with all stakeholders
• Results orientated, positive outlook, attention to detail with ability to drive projects forward
• Strong team work skills with the ability to work cohesively with various areas focused personality is essential
