1) Perform administrative duties and provide assistance to General Manager including coordination of General Manager's calendar, expense claims, meeting minutes taking for various business meetings and composition of communications, letters, memos, emails, etc.
2) Organize, lead and motivate administrative team via solid or dotted line reporting to maximize administration efficiency, accurate service quality and processes for Division.
3) Organize and coordinate with HR new employee registration, orientation training, miscellaneous required documentation, product training schedule.
4) Assisting GM in Salesforce sales report analysis, weekly/monthly report tracking, conducting and publishing SF monthly/quarterly ranking, consolidate SMs monthly report and itinerary.
5) Identify areas for improvement in administrative processes for Division; create and implement projects/programs to address gaps and/or improve efficiency as appropriate
6) Monitor and coach staffs, where appropriate, incoming communications, workload balance.
7) Schedule, co-ordinate and book flights accommodation, conferences, meetings as required.
8) Perform administrative and clerical duties as required for effective operation of the Division.
9) Maintain correct and updated information including organization chart for employees.
10) Assist in the preparation and scheduling of meetings, training courses and conferences.
11) Maintain Division information systems as required to ensure up to date information.
12) Liaise with third parties agents for event organization and personnel business travelling activities and logistics.
13) Liaise with functional department personnel for project communication as required.
14) Assist in the promotional material purchasing, vendor selection process to comply with settled procedures for Division.
15) Ensure appropriate filing, key message notes and archiving of Division monthly or business meeting document.
16) Undertake assignment of special projects and new initiatives as required by GM or Salesforce.
17) Live and Comply with compliance, previewing, investigating and coordinating all standard sponsorship application from Salesforce and Investigation Scientific Study initiative; Purchasing and Vendor selection all relevant company policies, procedures and work practices.
18) Completes the Training as required and assigned before performing tasks in compliance with the requirements presented during training and according to established policies and procedures, and requests clarification when concepts or requirements are unclear.
