Job Description
Main tasks and responsibilities
The Sales Assistant is mainly responsible for provide administrative functions for the sales team. In addition to typical secretarial duties such as typing, filing, mail distribution, travel arrangements, customer hospitalities, sales seminar supports and distributor sales meeting arrangements etc., serve as a key contact in the interaction with all the international business unit locations. Other duties will include updating databases, assisting in seminars and internet capabilities.
- Provides important link in business communication. Prepare various papers and presentations. Document scanning to PDF or conversion to PDF for move toward electronic filing.
- Handle domestic and international travel consisting of hotel, car, visas and passport renewals; issues itineraries for sales personnel. Seek most cost-efficient travel plans for timely travel by staff and verify ticket accuracy. Secure letters of invitation from customers in countries requiring this for visa applications.
- Make reservations, registrations and travel arrangements for customers.
- Assistant for Customer Seminar or other worldwide customer or sales seminars as may be held in the future. This assistance includes hotel, travel, staff, promotional items and activity arrangements, invitations to industry contacts, collecting speeches and agenda maintenance.
- Maintain all correspondence and contracts for customer files, both paper and electronic. Keep up-to-date listing of all files available for quick reference.
- Maintain electronic filing system for customer quotes by year, and electronic log of quotes.
- Enforce document retention and destruction policy for sales department.
- Create and periodically update a customer contact database for customers. Contacts are currently in SALES system.
- Answers inquiries of customers in the absence of staff. Main contact with absentees by e-mail or voice mail.
- All outgoing mail is done on a departmental basis; mail is to be weighed and stamped for delivery.
Education and professional experience
- Bachelor's degree;
- At least 1 years of experience in secretarial or General service department in a multinational environment;
- Strong oral and written communication abilities as well as computer and data entry skills are required;
- Native in Chinese and fluent in English;
