Job Description
Manage executives’ schedules, calendars and appointments ensuring the most effective use of resources (e.g Webex, travel costs), work as interface and communicate with varying levels of customer leadership.
Participates in meeting financial objectives by making recommendations in preparation for the annual budget(s); reviewing expenditures for compliance to company/site policies and procedures as well as opportunities for cost savings; analyzing and resolving variances; and recommending/initiating corrective actions.
Responsible for collecting marketing intelligence, competitors’ dynamics, and industry data to provide comprehensive report and update.
Collate and compile Company Monthly Operating Review (MOR) and Weekly Report materials to a high standard which includes monitoring follow-up actions of the executive staff.
Work as administrator of Dynamic 365 system to monitor data integrity and accuracy, support to build up sales pipeline and database, support to drive sales effectiveness and productivity.
Monitor customer account team sales performance and provide periodic report, including win/lost analysis, track forecast and order booking, identify deviations and support to address gaps and mitigation plans.
Support account team internal/external events, coordinate with marketing communication to organize meetings, logistics, supplies, presentations and facilitate follow-up actions.
Develop and maintain filing systems, ensure security, integrity and confidentiality of data and process in accordance with executive requirements and files are current and meet contractual, legal and other retention requirements .
Responsible for company office operations and procedures are organized and correspondences are controlled, coordinate company office staff activities to ensure maximum efficiency .
Communicate effectively to relevant personnel via oral, written and visual media using the most effective and applicable equipment, software, and/or systems as required.
Initiate and monitor spending requests for office supplies, equipment and business meetings. Assist in the development, preparation and analysis of budgets (including monitoring and maintaining an inventory of supplies. Review and approve office supply acquisition).
