Job Description

The job holder’s responsibility for promoting and safeguarding the welfare of children and young person’s for whom s/he is responsible, or with whom s/he comes into contact will be to adhere to and ensure compliance with the relevant Cognita Safeguarding; Child Protection Policy and Procedures at all times. If in the course of carrying out the duties of the role, the job holder identifies any instance that a child is suffering or likely to suffer significant harm either at school or at home, s/he must report any concerns to the School’s Child Protection Officer/Designated Safeguarding Lead or to the Head of indeed to the Regional CEO so that a referral can be made accordingly to the relevant third party services.

 

Responsible for the school’s administrative duties (filing, copying, faxing, etc), thus freeing the Head of School’s time for parent liaison activities. Additionally, the Administrator is also expected to assist Teachers periodically as required and to be fully involved in the family / child relationship. Head of Schools may delegate to Administrators such other duties as may be necessary for the smooth operation of her school.

Responsibilities: 

  • Maintain all paperwork and filing systems.
  • Prepare draft notices / letters for classes as requested and approved by the Head of School (for instance, regarding coffee mornings, field trips, etc).
  • Assist the Head of School with planning and coordinating field trips (make calls to book venues, liaise with Head Office to coordinate buses, copy filed trip permission slips for sending to parents, etc).
  • Remind the Head of School of upcoming deadlines.
  • Answer the phone, Email or Fax documents as requested by the Head of School. 
  • Monitor the ordering of supplies (stationery, food, etc); prepare necessary order forms for the Head of School’s approval.
  • Liaise with Head Office to maintain adequate supplies of brochures and class leaflets.
  • Support the Head of School particularly in her duties relating to Weekly Statistics, Bus Schedules, Enrolment Contracts and Health Forms.
  • Maintain registrar of parents, visitors, vendors and/or contractors for compliance with safeguarding policies

 

Requirements: 

  • Excellent English speaking and writing skills, and be able to communciate in Cantonese and Mandarin.
  • Excellent interpersonal and communication skills
  • Relevant experience in the education sector an advantage
  • Good organization skills 
  • Positive, patient and confident team player able to work under pressure in a busy school
  • Be able to use own initiative in ad hoc situations and display a level of flexibility when dealing with certain tasks
  • Computer literate
  • Immediate availability preferred
