The Front Office Secretary provides secretarial, clerical and support for not only the Front Office Manager but also general Front Office operations. This role assists with translations, both verbally and written, daily clerical work and administrations for the Front Office department. The role ensures that all Front Office affairs are handled neatly and timely.

What will I be doing?

As the Front Office Secretary, you will be responsible for performing the following tasks to the highest standards:

• Maintain high customer service focus by approaching your job with the customers always in mind.

• Have a positive impact, taking personal responsibility and initiative to resolve issues.

• Motivated and committed, approaching all tasks with enthusiasm and seizing opportunities to learn new skills or knowledge in order to improve personal performance.

• Contribute ideas and suggestions to enhance operational / environmental procedures in the hotel.

• Positively deal with and learn from customer complaints and comments with follow-up and feedback to the Front Office Manager.

• Establish good communication with the Housekeeping team.

• Be proactive towards guests, assisting them with any reasonable requests.

• Attend and participate in regular operational and hotel meetings.

• Assist the Front Office Manager with all paperwork, team member attendance, stock control, purchasing, etc., ensuring that all Front Office affairs are handled neatly and in a timely manner.

• Check department team member attendance records.

• Track the monthly SALT score and updates and files.

• Assist and double check with Front Desk team members for the local and foreigner PSB information, updates and deliveries.

• Apply and manage office stationery.

• Ensure that the Front Office is always tidy and clean with all working equipment in good condition.

• Check all forms submitted from all sections of the Front Office.

• Contact with related departments and suppliers.

• Assist the Front Office department to prepare all meetings and activities, taking meeting minutes as well.

• Carry out any other reasonable duties and responsibilities as requested by the Front Office Manager / Assistant Front Office Manager.

• Submit reports, action forms and all forms to the related departments and make sure all information is confidential.

• Take responsibility to cascade hotel information to related team members.

• Work closely with the Purchasing team to ensure regular purchase, flow of supplies and inventory.
