Roles :
  • Provide daily secretarial support of a both highly confidential and general nature to assigned managers. Render administrative support and other duties as requested in Research & Development Department.

Accountabilities:
  • Provide secretarial support to assigned managers
  • Work together with other secretary to provide administrative support to R&D department
  • Special Projects Support

Measurements:
1.Provide secretarial support to assigned managers
– Assist calendar management by meeting coordination and keep assigned managers informed of all activities
– Arrange & coordinate for assigned managers’ trip including flight booking, hotel reservation and logistic arrangements etc.
– Provide support to prepare assigned managers’ presentations
– Process, circulate and follow up documents within R&D Dept.
– Prepare & follow up T&E and R&R claim for assigned managers
– Process, circulate and file Stagegate documentation
– Other duties requested by assigned managers
2.Work together with other secretary to provide administrative support to R&D department
– Render administrative support to R&D teams including monthly stationary application, meeting room reservation etc.
– Accommodate VIP’s visit, e.g. itinerary coordination, logistic arrangement etc.
– Support on monthly R&D expense settlement e.g. advisory board fee, air ticket fee, stationary fee, etc.
– Support on internal/ external meetings & activities organization for R&D. Dept. e.g. R&D monthly leadership meeting
3.Special Projects
– Provide special projects support such as data collection and tracking
4.Sustain value based culture by actively setting and cascading ‘Tone at the Top’ and engage in robust training and education programs.
5.Champion & embed GCS understanding, control, ownership and execution within GCR to achieve an effective audit rating

Work Relationships:
Internal :
  • Reports to assigned managers directly
  • Work closely with assigned managers, their DRs, other function directors and their secretaries in the company
External:
  • Assigned managers’ external contacts
  • Vendor
  • External visitors

Qualifications/Requirements

Requirements:
  • College degree or above in secretary, administration, English or other related
  • 3+ years secretary experience
  • Good English skill in both oral & written
  • Good computer skill, be familiar with Microsoft Excel, Powerpoint
  • Independence in handling complicated tasks and coordination.
  • Strong problem solution and networking skills
  • High sense of responsibility and well organized
  • Good sense of urgency and well discipline
  • Ability to deal with confidential information
  • Ability to handle several tasks simultaneously
  • Good personality, proactive and team worker
