Description of Tasks
Administrative Support to COO, Sales & Marketing
- Provide full secretarial and logistic support to COO, Sales & Marketing, e.g. typing, filing, faxing, archiving, planners & schedules update, meetings & appointments schedule & monitor, travel arrangements, expense claims, company car management, etc.
- Review and screen incoming telephone calls, emails, faxes and mails; classified by nature and priority.
- Maintain work calendar to make sure appointments and activities are arranged appropriately.
- Signature management.
- Office management
Executive Support to COO, Sales & Marketing
- Provide executive support to COO, Sales & Marketing and taking responsibilities delegated by COO, Sales & Marketing in terms of managing tasks and others.
- Support to manage COO, Sales & Marketing’s direct-reports in various business needs.
Communication
- Facilitate communication between COO, Sales & Marketing with management or counterparties of HQ, BMBS and other DGRC companies, and also with representatives of dealers.
- Regular communicate with Department Heads and their assistants/secretaries of S&M incl. Region Offices
- Following-up on deadlines and insuring information is available, communicating with internal and external department on day to day business work.
- Researching and gathering information, completing projects and assignments.
Coordination and Team Assistance
- Facilitate Central and Region Offices communication and coordination.
- Company and cross-department activities and events arrangement and coordination
- Closely work with other COO, Sales & Marketing Office team members.
- Coordinating external and internal visitors, e.g. hotel booking, transfer arrangement, prepare visiting program, etc.
- Administration support to the team.
