Job Objective
- Support IPS operational activities
- Support IPS director in daily business coordination
- Provide administrative support to the department
- Support project tasks assigned by the supervisor
Task Description
1. Business Operation Support
- Support operational teams as backup capacity and complete assigned purchase tasks
- Communication and collaboration with internal business departments, external counterparts and suppliers to ensure smooth business operation
- Support operational teams to monitor team KPIs and regularly report to management for actions with solid analysis, and follow up to ensure timely implementation
- Organize and prepare business meetings & workshops, make presentations and draft meeting minutes
- Support prepare IPS reports as required and ensure high quality
2. Support to Director
- Provide professional secretarial and administrative support to Director, such as agenda manangement, meeting organization, screening calls/emails, prechecking document for approval, archiving, receiving guests etc.
- Make daily internal and external coordination for director
- Prepare high level communications as instructed
- Travel arrangement and other miscellaneous administration activities
3. Administrative Support to Department
- Coordinate office logistics & procurement activities and archive within department, maintenance of office facilities, assets and conduct regular check.
- Support newcomers’ orientation and settle-down
- Handle communication correspondence and other administration activities in the department
4. Specific project support assigned by supervisor
