Eaton’s Aerospace Group is currently seeking a Senior Administrative Assistant to join our team. This position is based at our Irvine, CA facility, the Aerospace Group Headquarters. Position Overview: This individual will act as the primary point of contact for VP of Finance and the VP of BD/Marketing of Eaton Aerospace Group. This position will provide value-added administrative support utilizing previous experience, strong problem-solving ability, balanced judgment, and communication skills. Administrative support can include but is not restricted to presentation preparation, data analysis, meetings, events, and conference arranging, preparation, and issuance of monthly status reports, booking and coordinating meeting arrangements / travel and administration associated with key programs as well as expense reporting. In this function you will: This position requires a high sense of urgency and excellent phone manner in dealing with top level internal management, members of the Board and board members of numerous outside organizations Support the preparation of presentations for major and cross-functional meetings, networking and gathering necessary data to complete the task Lead the coordination of management meetings, meeting arrangements and planning Coordinate travel arrangements, which could include coordination of the same for visiting senior management Manages internal and external correspondence as necessary with the ability to act independently Maintain effective relationships with multiple internal/external employees as well as external clients Provides secretarial support including preparation of T&E reports, check of Amex statements, scan, and file of correspondence. Qualifications Required (Basic) Qualifications: Associate's degree from an accredited institution Minimum of three (3) years of administrative experience This position requires use of information or access to hardware which is subject to the International Traffic in Arms Regulations (ITAR). All applicants must be U.S. persons within the meaning of ITAR. ITAR defines a U.S. person as a U.S. citizen, U.S. Permanent Resident (i.e., Green Card Holder'), Political Asylee, or Refugee. Must be legally authorized to work in the United States on an ongoing basis without company sponsorship No relocation benefit is being offered for this position. Only candidates that currently reside within the immediate geographical area of 50 miles of Irvine, CA will be considered. Active-Duty Military Service member candidates are exempt from the geographical area limitation. Preferred Qualifications: Bachelor's Degree from an accredited institution Five years of administrative experience Experience and competence in Microsoft applications: Word, PowerPoint, Excel, etc. Excellent written and verbal communication skills Excellent interpersonal skills Ability to work effectively independently and within a team Very effective in dealing with people at all levels of the organization as well as external contacts; customers, suppliers, etc. Reliable and trustworthy, with ethical approach High degree of confidentiality, reliability, discretion, quality, and professionalism Highly flexible and proactive in approach in order to perform a variety of important sometimes urgent, confidential, and complex tasks with constantly changing priorities Individual must possess ability to thrive in a fast-paced environment We provide benefits that are industry competitive and focused on employee well-being.
