Eaton’s Corporate Sector is currently seeking a Sr Administrative Assistant to join our team. This position is based at our Beachwood, OH location. Flexible hybrid work schedule available. Position Overview: Provides support to the VP, Finance Technology which can include but is not restricted to: calendar management, coordinating travel arrangements, organizing and coordinating meetings, submitting Travel & Expense reports, presentation preparation, issuance of monthly status reports, and administration associated with key programs. This role also provides support to the Global Tax Controversy team with Eaton’s defense of its current and on-going tax cases. In this function you will: Support Finance Technology: Complete the contractor onboarding process for the finance technology team Supports the team with employee onboarding processes Prepares agenda and meeting notes for key recurring meetings Manages the consolidation of internal team metrics Manages vacation tracking processes Supports the preparation of enterprise-wide finance technology communications Leads special projects as required to improve team operating procedures Support the preparation of presentations for major and cross-functional meetings, networking and gathering the data to complete the task Plan and execute small and large events Coordinates and issues monthly reports, including data collection and formatting, preliminary analysis, and recommendations when appropriate Manage the VP’s calendar and coordinates across the organization to proactively manage overlaps, required meetings, and conflicts Support Global Tax Controversy: Maintain accurate record-keeping in a consistent organizational format across various workstreams and channels Administrator of multiple data repositories including maintaining access for members and guests and transition historical tax work papers from storage to the Tax Controversy’s digitalization system Coordinate with the project managers and other tax professionals to facilitate meetings with cross functions and third parties Schedule travel for offsite meetings Prepare and assist in the execution of agreements Assist in the collection and preparation of materials for presentations to stakeholders Provide support to the Tax Controversy team and its internal and external advisors Support Tax Controversy with its billing process including budgetary and actual Respond to ad-hoc requests from multiple team members Why work at Eaton? Qualifications Required (Basic) Qualifications: Associate's degree from an accredited institution. 5 years of experience as an Administrative or Personal Assistant, with at least 3 years working with Executive-level leaders Relocation assistance is not available for this position. Only candidates currently located within a 50 mile radius of Beachwood, OH will be considered. Active Duty Military Service member candidates are exempt from the geographical area limitation. Must be able to work in the United States without corporate sponsorship now and within the future Preferred qualifications: Experience in Microsoft Office 365 applications including Outlook, PowerPoint, SharePoint, Teams, Excel, Word, etc. Position Criteria: Flexible and pro-active; Ability and willingness to perform a variety of important sometimes urgent, confidential, and complex tasks with constantly shifting priorities while maintaining a high degree of discretion and professionalism.
