Job Description
Role Responsibilities:
1. To assist Centre Administrator to strengthen support to day to day administrative operations of English, Chinese and Spanish language modules and programmes and other learning and teaching activities in the LC
2. To be a member of the LC Centre Management Team (CMT) and to serve as the CMT Secretary
3. To manage assessment administration in the LC, in conjunction with the LC Managers, LC Exam Officers and staff in the Registry, including regular communication with Managers and Exam Officers, assessment tasks planning, tracking, completion and overseeing, and to serve as Secretary of LC Module Board of Examiners
4. To assist Centre Administrator to provide administrative support to English language placement test, such as coordination with the LC staff and Departments concerned, logistics and materials preparations before the test, on-site support during the test days, marker allocation and creating student lists for invigilators and each marker, organisation of online makeup tests, compiling data and information of test incidents and generating test results
5. To manage quality assurance of administrative support to assessment, including implementation of the University and Centre’s assessment policies and procedures, and overseeing the support provided by Module Secretaries, conducting quality check, and drafting guidelines and manuals for improvements, in line with university standards
6. To coordinate travel and logistic arrangements for external and Liverpool examiners by working closely with Module Secretaries, including creating itineraries, drafting invitation letter, arranging transportation and accommodation where necessary, and liaising to set up temporary office space for the examiners
7. To manage the LC email account dealing with enquires from students
8. To be the contact for management of ICE functions, including liaison with LC Managers, LC IT Officer and staff in the Academic Enhancement Centre, and maintenance of LC Staff + Student Communication Area on ICE
9. To work closely with Centre Administrator to provide support to academic quality assurance process including Internal Periodical Review
10. To assist Centre Administrator with the facilitation of the training, mentoring and induction for staff within the Centre’s administration team
11. To deputise for Centre Administrator and provide backup to team members when required
12. To undertake other projects and duties as assigned by the Centre or University
More details on the role serving IBSS:
IBSS is composed of three Divisions in the following academic general subjects, Accounting and Finance, Economics, and Management, all of which are under the supervision of a Head of Division and administered by Division Administrators. With the growing number of students and programmes, the role of the Senior School Administrator in IBSS is to assist the School Manager in coordinating Division Administration in relation to assessment, the daily support of students and faculty, and other related learning and teaching activities.
Role responsibilities
1. To assist the School Manager to strengthen support to the Head of Divisions in managing the day to day operations of the academic administration of the Division, faculty and students;
2. To assist the School Manager in implementing accreditation related projects at Divisional Level, e.g. implement Assurance of Learning Goals projects, track module evaluations and delivery, organize and minute focus group meetings, track completion of faculty peer-review, and coordinate faculty classification rating in Sedona;
3. To lead on assessment administration in IBSS, including to assist Division Exam Officers to expedite faculty and external examiners for a full range of assessment deadlines, communicate with ULMS link tutor in terms of assessment and moderation related issues, and administer Module Board of Examiners and Progression Boards;
4. To lead on the administration of Undergraduate Final Year Projects by assisting module leader to prepare and update Final Year Project manual on an annual basis, collecting faculty research topics for allocating supervisors, mentoring Division Administrators in collecting marks and giving feedback, setting up presentation groups, and video-taping presentation samples;
5. To administer School Teaching Assistant (TA) projects, e.g. mentor module leaders to ensure that University TA recruitment procedures are followed, to ensure TA are suitably trained by attending university workshops, assist GSO to monitor PhD scholarship holder’s work load completion, prepare contracts and payments, and verify completion of TA ALA for Master’s students;
6. To assist the School Manager to facilitate hands-on training and mentoring of junior Office Team members;
7. To act as the first point of contact in the School for coordinating proof- reading services;
8. To provide back up to other functions within the School Office Team when required.
9. To undertake any other duties and tasks assigned by the School or University.
The successful candidate will need to demonstrate good managerial skills, a positive attitude, a high level of reliability and professionalism, strong communication and organizational skills, and must be willing to work flexibly.

Experience • Experience of working in an office environment covering a range of administrative tasks
Education, qualifications and training • Bachelor's degree plus 5 years working
experience • Postgraduate qualification plus 3 years working experience
