The Opportunity:

We have an exciting opportunity for an experienced admin guru to support both our IT and Portfolio Delivery team.

We have a large project portfolio supported with a number of contingent workers supporting this.  We aim to deliver a market leading contingent worker experience. You will be responsible for supporting the efficient and effective management and administration of AIA’s Portfolio Delivery and Technology contingent workers.

You will be someone who enjoys process management and improvement, diary management and building strong stakeholder relationships in the business.

About the Role:

  • Supporting Project Delivery and Technology by delivering a market-leading contingent worker experience through effective and efficient management and administration.
  • In partnership with our Talent and Procurement teams facilitate timely contract related processes.
  • Ensure timely approval for on-boarding and extending contractors.
  • Support with recruitment activities such as arranging candidates for interviews, aiding with shortlisting, and reference and due diligence follow-ups.
  • Manage a forward-looking view of contract resource pool extensions to support resource pool optimisation, and the timely and efficient extension of contracts.
  • Administration and monitoring of contingent workers in HR systems, (including absences) and other related systems.
  • Support the administration of timesheets, invoice approval and internal finance processes.
  • Facilitate and oversee the on-boarding and off-boarding of contingent workers to support a great employment experience and to optimize productivity for project outcomes.
  • Monitor and manage mandatory learning and Health & Safety for contingent workers.
  • The role will also support the wider Project Delivery team with reporting and administration support.

About you:

  • Extensive administration and co-ordination experience.
  • Proficient in Microsoft Office- in particular, Excel, Word, PowerPoint, SharePoint and MS Teams.
  • Good numeracy skills.
  • Can demonstrate making improvements to inefficient processes.
  • Diary management.
  • Strong interpersonal skills.
  • Excellent problem solving and organisational skills.
  • High level of attention to detail.
  • Motivated self starter.
  • Resilient and can handle working under pressure.
