Job Description

Position Summary:

The position of Senior Administrative Assistant will be the principal administrative support person for the Leadership team and other site function areas, thereby performing a vitally important role. The successful candidate will have a sincere interest in the business, possess excellent administrative, relational and customer service skills, value attention to detail, and be able to handle a variety of activities and tasks. The office environment is highly professional and fast paced, requiring quality work and individual initiative.

Key Responsibilities:

  • Maintains confidentiality in all aspects of duties relating to the company
  • Demonstrates and promotes the company vision and values
  • Represents the Leadership Team in a professional and congenial manner, by reviewing correspondence; arranging corporate functions, answering questions and meeting requests directed to key executives
  • Coordinates site engagement activities, including, but not limited to Town Halls, Making Connections Committee, Weekly communication, inSite Rockford, etc.
  • Prepares for onsite meetings including preparing complex PowerPoint presentations and excel spreadsheets, room set-up, catering and taking notes of meeting when necessary
  • Receives, compiles and clarifies information to facilitate quick decision-making by Leadership Team
  • Maintain complex calendars and schedules of executives for the arrangement of internal and external meetings
  • Assists with Budget Expense Planning and Tracking
  • Provides consistent timely and courteous oral and written communications with customers and employees
  • Completes project and special assignments by establishing objectives; determining priorities, managing time; gaining cooperation of others; monitoring progress; problem solving; making adjustment to plans
  • Tracks Appropriation Requests through the approval process
  • Files correspondence and other official corporation records including legal files of the company
  • Coordinates travel and meetings by developing itineraries and agendas; scheduling flights, booking other transportation; arranging lodging and meeting accommodations including assisting with Passport and Visa Applications
  • Coordinates and submits expense reports for multiple leaders
  • Maintain conference rooms and common areas, including maintaining supplies, cleanliness and organization
  • Other responsibilities as required

Minimum Requirements/Qualifications:

  • High school diploma or GED required
  • Bachelor’s degree, highly preferred
  • 5+ years administrative related experience required
  • 5+ years experience and expert knowledge of MS Word, Excel, Outlook, PowerPoint
  • Must possess personal responsibility and integrity
  • Professional attitude and presence at all times with an ability to maintain composure and manage stress to meet deadlines
  • Attention to accuracy and detail in all aspects of responsibilities
  • Excellent organizational skills
  • Ability to follow directions, most times from multiple sources and determine priorities
  • Ability to multi-task and balance competing requirements from multiple leaders
  • Previous experience in roles that required public speaking, writing, or high volume of one-to-one communications
