How will you make an impact?

The Sr. Administrative Assistant performs both key and specialized administrative duties to support assigned regional leaders in North America. Duties to include, but not limited to, travel arrangements, monthly expense reports, meeting coordination, on and off boarding of regional personnel and other responsibilities as assigned.

What will you do?

Support a six member North American Senior Sales and Marketing Leadership Team

  • Ability to research, plan and execute complicated domestic and international travel arrangements for internal and external customers.
  • Manage multiple calendars
  • Assist with Organizational Announcements, Reports and Presentations
  • Manage bids and logistics of off-site meetings
  • Assist in Onboarding and Voluntary Off boarding
  • Prepare expense reports and purchase requisitions
  • Ability to prioritize and handle multiple assignments
  • Maintain Distribution Email Lists and delivery of broad communication across team

Specialized Responsibilities

  • Regional Meeting Support; act as the point of contact between the internal/external clients. Organizing and supporting teleconferences, global leadership offsite and other team events.
  • Manage distribution of critical deadlines to a large commercial organization
  • Draft and edit correspondences; transcribe meeting notes and able to capture action items during meetings.
  • Ability to travel to critical meetings throughout North America as needed to support team (approx. 15% travel could be required)

How will you get here?

Education / Experience

  • College Degree (preferred), High School Degree or GED (required)
  • Five (5) years of business experience; Administrative Assistant experience preferred

Knowledge, Skills, Abilities

  • Full comprehension of Microsoft office skills (Office 365, PowerPoint, Excel)
  • Ability to build out a basic project plan, execute on and track progress
  • Excellent verbal and written business communications skills and an ability to relate professionally and pleasantly with colleagues at all levels of the organization and with customers and outside vendors
  • Strong organizational skills, with attention to detail to perform a variety of duties concurrently and accurately, meet deadlines and follow-up in a timely manner
  • Excellent relationship builder; able to demonstrate a high level of tact, discretion, and diplomacy with all internal and external stakeholders. Must also demonstrate ability to maintain confidential/sensitive information.
  • Able to research and network in a highly matrixed organization to get goals accomplished

Preferred Qualifications

  • Experience with web-based business systems like Salesforce (SFDC), Workday, Concur and Microsoft Office
  • Ability and desire to become a fully accepted and accountable member of our leadership team
  • Work from our Center City Philadelphia Office with flexibility to work from home, as needed up to 20% of scheduled workdays
  • Possess a positive, productive and accountable work ethic
  • Ability to travel occasionally (~4 times a year)
