Eaton’s Filtration Division is seeking an Administrative Assistant to join our team! This role will be located in Chanhassen, MN. Position Overview: This role is responsible for performing a variety of administrative duties for the business. The primary function of this position is to provide administrative support for the General Manager/Vice President, Filtration and other team members as necessary. This position supports the strategic direction and key objectives of the business by developing, maintaining and improving systems and processes to ensure the organization runs smoothly. The Administrative Assistant handles multiple urgent priorities efficiently, effectively, and with the utmost concern for confidentiality. It’s where bold, bright professionals like you can reach your full potential—and where you can help us reach ours Essential Functions: Manage calendars for leadership team members by scheduling meetings, resolving overlaps and/or conflicts, and managing action log and follow ups as needed Act as a liaison internally and externally for the General Manager, Filtration and other business leaders, handling inquiries and executing communication Coordinate domestic and global travel arrangements, meetings (in person and teleconference, locally and globally), and travel documentation (electronic and hard copy). This may include the processing of visas and passports. Perform and compile reporting according to needs. Contribute to creation and consolidation of department presentations as requested, utilizing Eaton’s internal systems, tools, and templates. Assist with key business processes for the business; examples may include Strategic Plan, Profit Plan, Organizational Capability Assessment and special projects. Provide administrative support in confidential and sensitive situations. Organize and maintain departmental records, reports and office equipment. Sort and prioritize incoming mail. Process invoices and travel expense reports utilizing Eaton’s internal systems and tools Comply with the policies, procedures, and expectations outlined by Eaton’s Management System for the Environment, Safety, Security, and Health (MESH) and Quality Management Systems (QMS). Qualifications Basic Qualifications: High School diploma/GED and at least 5 years of experience in an administrative function OR Bachelor's Degree from an accredited institution and at least 2 years of work experience Computer proficiency in Microsoft Office Suite (Outlook, Word, Excel, Powerpoint) Must be legally authorized to work in the United States without company sponsorship No relocation benefit will be provided. All candidates must reside within a 50 mile radius of Chanhassen, MN to be considered Preferred Qualifications: Bachelor’s Degree from an accredited institution Prior experience in an administrative function, working in a multinational corporation, and/or supporting executive-level leaders Computer proficiency in some or all of Eaton’s systems including, but not limited to: Concur Travel & Expense Oracle Sharepoint Microsoft Teams Power BI Position Criteria: Exceptional organizational and time-management skills Attention to detail and sense of urgency in completing tasks accurately and efficiently Ability to effectively manage confidential information and data Strong interpersonal skills and ability to communicate to all levels of the organization and across a culturally diverse population with tact and professionalism Comfort in working independently, seeking support and additional information at own initiative Desire to work in a fast-paced, ever-changing environment We make what matters work.
