Job Description
- Report to both Customer Experience Excellence Division & RFM/ PHC BU Director and Human Resources Division Director
- Assume the coordinator and assistant role for the Divisions to enable the team to meet project goals and deliverables.
- Work with minimal direction to carry out a wide range of administrative duties as outlined below, with a strong emphasis on organization and proactive coordination of activities.
- Exercises independent judgment and discretion with sensitive/confidential and proprietary information
- Acts as the team "go-to-person" for general operational or administrative questions or other inquiries
- With high attention to detail, plans, coordinates and manages a complex and dynamic calendar that includes coordination of personnel in different geographical regions/time zones. Calendar may include meeting scheduling, resolution of scheduling conflicts, scheduling appointments with external guests and officials, and interviews as necessary.
- Organizes management travel and prepares expense reports
- Participates in planning and execution of All Hands meetings, leads and or participates in planning of divisional and departmental level activities and events (socials, round tables, team builders, etc.)
- Processes contractual agreements with vendors, payment request, and purchase orders
- Provides orientation and guidance to new comers
- Acts as champion for both company level and division level processes
- Manage Roche Academy/ Employee Orientation-related logistics and materials preparation
- With high attention to detail, plans, coordinates and manages a complex and dynamic Roche Academy training calendar
- Processes Roche Academy-related contractual agreements with vendors, payment request, and purchase orders
- Manage administration for RFM/ PHC BU’s marketing and sales team. E.g., hospital listing documents preparation and contracting processes, etc.
- Act as the back-up for RFM Customer Service Specialist when needed (peak demand seasons; sick or annual leave etc.)
- Works on complex assignments, projects as an individual contributor or cross functionally. Such assignments require professional judgment and initiative in resolving problems and making recommendations.
- Provides support on editing and formatting meeting documents, materials and/or presentations, gathering information or conducting analyses to support the Division Head(s) and other team members.
- Streamlines and reduces unnecessary administrative or operational burdens for the team
- Promotes continuous improvement culture in the organization
- Ensure 100% of safety reports received are forwarded to Drug Safety Department within one business day of receipt
- Fluency in written and spoken English
- Strong computer skills (e.g. Microsoft Office, Internet, etc)
- Good communication / interpersonal skills
- Demonstrate effective time management and organizational skills
- Ability to work within a flexible team environment on multiple projects simultaneously

Education:
Bachelor degree or above
Working Experience:
At least five years’ working experience in multinational companies as secretary
