1. Assistant tasks for partners and principals

incoming/outgoing mail/email/telephone

co-ordination of appointments

co-ordination/organization of meetings and conferences(internal & external, including conference call, video conferences and meetings)

preparation of documents and presentations(typing, layout, copy, binding)

translation of documents and presentations

co-ordination of editor(contact, time reservation, result check)

filing of documents and presentations

organization and filing of contacts

co-ordination/organization of travel

  • booking of transportation
  • booking of hotels
  • visa applications

travel reimbursement

expense reimbursement

time sheets: information gathering/ fill in/check


2. Assistant tasks for teams(project managers & consultants)

co-ordination of editor(contact, time reservation, result check)

co-ordination/organization of travel

Visa applications

expense reimbursement

time sheets


3. Administrative office tasks

Administrative tasks according to assignment(see attached sheet)


4. Flexible tasks

Special assignments within work environment


Qualifications:

At least 2-3 years experience in the position of Secretary or Personal Assistant for a multinational company

Bachelor degree or above

Strong computer skills;

Excellent English oral and written skills
