Job Overview
This position's focus is to manage critical strategy topics, transformation management, and special projects. The role also provides support in managing day-to-day business and communication flow between the GM and the company (DMs, Executive Management, MBUSA and affiliates).
Responsibilities
Strategic Alignment (Daily, 30 %)
- Drive the strategy development process for ITI/N and together with IT MBUSA
- Design, map and maintain strategic road map NAFTA market through collaboration with management across the IT organization
- Align with Head Quarters to synchronize all strategic initiatives, workshops, meetings, updates and manage directive for IT from those collaborations.
- Develop, organize and manage all task from HQ derived from IT strategy, work with Mercedes-Benz partners from other units on a global scale to align IT initiatives
- Preparation and coordination of executive communications to Mercedes-Benz entities, presentations and speeches as they relate IT activities and strategy
- Increase the understanding and visibility of critical initiatives and strategies for IT
- Formulate, drive and report on strategic initiatives, consulting with Project Teams with respect to setting expectations, implementing leading practices, identifying potential opportunities and roadblocks.
Collaboration & Communication (Daily, 30 %)
- Support activities and initiatives including: departmental roundtables, internal Management communication, business presentations, change management initiatives.
- Efficient communication with relevant stakeholders to drive solutions, manage information flow, control and resolve issues
- Establish and maintain regular communications with direct reports to the GM and IT teams.
- Ensure proper synchronization between corporate guidelines and processes and local organization’s guidelines and processes
- Establish regular dialog with counterparts in the region and at headquarters in Germany to learn, adopt and improve
- Build and maintain critical relationships with relevant stakeholders
- Design, prepare and communicate documents that are ready for decision-making
- Prepare and follow-up with leadership team, track tasks and provide feedback
- Combine, coordinate and manage complex, cross-cutting issues for a higher-level organization
- Prioritize & sort incoming inquiries: Checking the importance level, checking important processes, compiling relevant documents, and determining relevant topics that needs to be addressed by GM
- Provide directives for all inquiries regarding the GM office and visibility to decision making
- Support Senior Management topics; ensure development and clear communication of meeting focus, topics, audience, message(s) and related presentation materials. Communicate results and action items to management team for dissemination across and/throughout IT.
- Lead all IT workshops, strategic visit of HQ/other locations in line with IT initiatives and direction.
- Disseminate IT communication by reviewing emails, identifying specific needs, identifying key decision makers, and providing relevant updates
Special Projects (Daily, 20 %)
- Prepare communication material and necessary forms/approval workflows for structural/organizational changes
- Utilize standard templates developed by headquarters in Germany and adjust as necessary for the needs of MBUSA
- Adapt local MBUSA procedures where necessary to comply with global standards
- Develop and implement activities in line with IT strategy designed to foster cross-functional team collaboration
- Special projects as identified and manage workshop designed to yield results that supports IT strategic direction
- Conduct cross-functional projects in new set ups (e.g. swarm) by working with all IT areas to collaborate on key initiatives
- Serve as liaisons for IT employees and GM, encourage, collect and work on recommendations from the team to drive the organization forward
- Track and provide status update on IT FTE headcount in alignment with Finance team
Transformation Management (Daily, 20 %)
- Develop, stimulate and drive change management initiatives for IT growth and development
- Foster a culture of learning and collaborating:- Set up new learning program for employees
- Improve knowledge, competence and skills within the IT department
- Create knowledge sharing culture, encourage collaborating in traditional and new ways
- Work closely with Digital Transformation Specialist to drive new methods for learning and workshops forward
- Set Up, run and improve knowledge transfer/sharing initiatives
- Optimize onboarding processes within IT at MBUSA
- Support & drive Agile Transformation
- Contribute to organizational effectiveness by identifying issues that must be addressed
- Make recommendations on topics or initiatives that needs to be implemented or addressed
- Conceptualize, set up, run and improve development programs for leadership team and employees (e.g. (reverse) mentoring, development days, …)
- Independent lead and coordination of international projects, including but not limited to: content related planning of international meetings, tracking of relevant initiatives in order to achieve the strategic objectives of the department
- Aligning with business units – creating transparency on our daily doings, but also about our continuous improvements
- Ensure transformation is in alignment with MBUSA core strategic initiatives and in alignment with Leadership program
- Ensure no violation of legal or compliance topics on transformation initiatives.
- Support VP travel by requesting, collecting and preparing all background materials needed for the meetings.
