General Description
To support the team leader of Student Administration and Timetabling to supervise the team in the area of student records management, data maintenance in the Virtual Learning Environment (ICE) and marks data management. Other mandate of this post may also include data exchange with partner institutions, data reporting to government and other stakeholders, student degree certificates printing, etc.
Main Responsibility and Accountability
Your main duties will be to work on or supervise team members to work on
1. New student enrolment: student profile creation for all types of newly admitted students, including Undergraduate, Postgraduate taught and research, exchange and visiting students; new student e-registration in MoE database
2. Student annual registration: annual registration of students in university’s central student information system (SITS) and government platforms
3. Daily maintenance of student records: daily processing of changes to student registration status (withdrawal, suspension, transfer, etc.); maintenance of up to date data and provide good quality data to users on campus; and maintenance of student tuition payment data (in collaboration with Student Academic Service team and PG Admission and Support Team in case of special students)
4. Student progression and graduation: production of progression and graduation results in accordance to University policies; provide reports on progression and degree classifications for Board of Examiners and other relevant committees; production degree and graduation certificates for ceremony; calculation of student scholarships to for the scholarship committee, preparation of 2+2 student marks data to support student applications for articulation of their studies at UoL and for other outbound exchange/visiting programmes, etc.
5. Module mark entry: to maintain accurate student list for mark entry; to provide consultancy services to academic units for using mark entry function on e-Bridge
6. Data management in Virtual Learning Environment ICE: to keep up to date with the frontier of the applications of the software and enhance skills and techniques in the daily operation of the software; to maintain the student data in ICE; to answer student queries regarding usage of ICE,
7. Module Questionnaire (MQ) administration: to manage the data preparation and publish of end-of-semester module questionnaire, and generate various MQ reports to staff, department and Learning and Teaching Committee for teaching evaluation
8. Data reporting and exchanges: student data reporting to government organs as required, and regular data exchange with UoL
9. Services to Students: to collaborate with Services Team to supply academic transcripts and scholarship certificates etc. to students on a daily basis; annual arrangement of student photo taking for graduation certificates and degrees.
The post holder is also expected to manage and deliver special projects and perform other duties as assigned by team leader of Student Administration and Timetabling or the Head/Deputy Head of Registry
Position Qualification Requirement
Essential:
2 years’ relevant experience for master’s degree holder, 5 years for bachelor degree
Excellent oral and written skills in English
Supervisory experience in a similar field
Excellent communication skills
Demonstrated experience with records management and databases
Able to manage own workload across a broad range of activities with an annual cycle
Able to maintain a high level of accuracy, even when producing work to tight deadlines.
Commitment to service and collaboration.
Desirable:
Experience of working within a Higher Education environment
Experience of working in an international organization
Experience in the management of a student records system
