Job Description

Supply Chain IT (SCIT) is looking for an Executive Assistant (EA) who will support and partner with the VP and GM of the Supply Chain IT Organization and Chief of Staff.

The responsibilities include but are not limited to:

  • Organizing and managing extremely complex calendar schedule(s) for the General Manager, maintaining the executive's agenda, and assisting in planning appointments, customer meetings, conferences, etc.
  • Organize complex meetings with other senior executives working alongside other EAs
  • Make extensive travel arrangements and prepares expense reports
  • Provide support for departmental events, quarterly events, and recognition as well as coordinating activities across the organization, events, conferences, F2Fs, etc: plans and organizes the events, prepares agendas, and coordinates all logistics
  • Exercise diplomacy, tact, teamwork, and judgment in interacting with a wide range of constituents at varying levels of an organization including staff at all levels, and administration staff's customers
  • Maintain an in-depth understanding of office management procedures and departmental and legal policies
  • Demonstrate strong accuracy and attention to detail while taking the initiative to manage logistics of the department/division such as maintaining divisional organizational charts, phone distribution lists, and divisional logistics needs
  • Strong capability in working with all Microsoft tools, Intel tools, purchasing and finance systems
  • Additional duties include managing tactical projects, general administrative duties such as order supplies, conference room coordination, generating shipping memos, etc.
  • Expert in handling and maintaining confidentiality using discretion and sound judgment
  • Effective organizational skills to improve the efficiency of administrative processes
  • Coordinate activities to ensure division goals are met, effectively mentoring and integrating new admins and ensuring all admins understand department procedures and expectations
  • Possess strong customer service orientation and uses judgment/discretion in handling confidential information
  • Work closely with the Senior and Executive administrative staff and works productively as a team member


Qualifications

You must possess the minimum qualifications to be initially considered for this position. Preferred qualifications are in addition to the minimum requirements and are considered a plus factor in identifying top candidates.

Minimum Qualifications:

  • 5+ years of experience as an executive assistant or related role
  • 5+ years of experience and proficiency with Microsoft 365 and all Microsoft tools such as Outlook, Word, Excel, PowerPoint, SharePoint Online, MS Teams, Yammer, etc.
  • 5+ years of experience with executive calendar management including coordinating complex meetings that require C-level attendance, external attendees, video conference room booking, etc.
  • 5+ years of experience with travel itineraries, visa application, expense reporting, and Administrative Tools such as Concur and Workday


Preferred Qualifications:

  • Bachelor's degree or higher in any field of study
  • Intel administrative experience
  • Experience with Teams, Yammer, and Internal Shipping Memo (ISM)
  • SharePoint knowledge

Work Model for this Role

This role will be eligible for our hybrid work model which allows employees to split their time between working on-site at their assigned Intel site and off-site.
