Talent Acquisition Admin Specialist with German

(fix term contract till the end of 2021)

Working as a key member of the HR Services Team based in the Regional Human Resources (HR) Centre in Warsaw, we are looking for a customer service oriented specialist to provide support to our regional TAq Partners and customers across our core talent acquisition areas.

As TAq Admin Specialist  you will utilize our suite of core and enabling HR technology (Workday, ServiceNow case management, telephony, etc.) to execute a range of activities, directly contacting  candidates, customers and HR professionals when needed to solve more complex problems. Our Regional HR Centre teams will work together with key HR and IT stakeholders around the world to identify and implement process and technology improvements to our way of working in HR and our interactions with customers.

Candidate Focus & Challenge

  • Responsible for operational activities in the end-to-end talent acquisition process while being in constant contact with local TAq Partners
  • Schedule job interviews with candidates based on TAq Partners requests, arranging all needed logistics, maintaining hiring managers and candidates informed, updating all participant´s calendars and booking rooms for interviews in order to ensure a positive recruitment experience.
  • Manage candidates communication, receive and answer candidates queries
  • Open job requisitions to enable TAq Partners to perform the recruitment process accordingly
  • Process candidate’s expenses to guarantee a proper reimbursement
  • Provide administrative support to TAq Partners and hiring managers through the whole recruitment process
  • Use the HR knowledge base and internal work instructions to ensure that processes are executed correctly and customer guidance is provided in an effective and consistent manner
  • Contribute to process simplification, improvement and implementation of ways of working to ensure TAq services meet the business needs, required timelines and critical deadlines are achieved
  • Support expanded provision of HR Services from offshore teams by building customer trust in the Regional HR Centre’s ability to deliver and supporting the incorporation of new services and countries/customers

Candidate Knowledge, Skills & Experience

  • First experience in an HR/Recruiting or administrative environment and ideally initial experience with interview/ meeting scheduling
  • Understanding of common HR and service center enabling technologies – e.g. case management, telephony and online user portals
  • Able to communicate fluently in German as well as very good command of English (written, oral and listening).
  • Demonstrated ability to manage competing tasks efficiently and prioritize workload within a matrixed team environment
  • Able to effectively solve problems using creative solutions
  • Willingness to be flexible at work and ability to work in fast-pacing environment
  • Strong administrative, organizational and customer service skills.
  • Well-developed people and communication skills and the ability to positively engage with customers.
  • Ideally experience in having worked across geographical boundaries
  • Being an active team member that enjoys working through collaboration.
  • Proficiency with Microsoft Office and other business tools and software (e.g. Outlook, HR Information Systems and Applicant Tracking)
