Position Summary:
The Talent Acquisition Coordinator will provide highly efficient and proactive support to an exceptionally busy, fast paced team, which is continually changing. The main criteria for the role will be to administer processes for recruitment and ensure that an excellent overall service is provided at all times.
The successful candidate will have strengths in diary management, coordination of meetings, often working with complex time zone, organising arrangements and the ability to accommodate changing priorities. This person must have a strong understanding of all aspects of administration, be able to multi task, work under pressure and have the ability to communicate with all levels, internally & externally.
Essential Duties and Responsibilities:
The role will support an internationally by supporting the execution of the go to market strategy for external talent which delivers the right talent to fulfil live vacancies and talent pipelines as required by the regional resourcing strategy.
- Partners with the Recruiters in to develop and implement sourcing plans for all vacancies – primarily providing support with hiring across our network of offices across the APAC region (Shanghai Singapore, Hong Kong, Sydney)
- Act as a dependable point of contact for recruiters, candidates and hiring managers during the hiring process
- Assist recruiters with recruiting initiatives (e.g., department open houses, social media outreach, etc.)
- Manages the attraction and initial pre-selection stages of the process including; searching CV databases, professional and social networking sites, manages advert response, CV sifting and conducting initial telephone screens resulting in a long-list recommendation to the Lead Recruiter
- Builds talent pipelines and delivers recruiting campaigns for repeat or volume hiring areas including support of Emerging Talent programmes (Graduate and Intern) during peak times
- Manages function specific talent communities online and social media content for resourcing
- Acts as a candidate experience ambassador, ensuring a positive experience at all touch points in the initial attraction and pre-selection process
- Maintains accurate and timely records in the Applicant Tracking System (ATS) to enable candidate management, tracking of Media ROI and the automatic generation of MI
- Identifies and delivers on opportunities for continuous improvement in sourcing through building and leveraging external networks and keeping abreast of new tools and techniques.
Recruitment Administration
- Ensure that job requisitions are completed and signed off
- Liaise with agencies and job boards, placing adverts internally and externally, response management, interview set ups
- Attend interviews as an HR rep as and when required by HRBP and HR Manager
- Ensure that the offer letter request forms are completed correctly
- Produce offer letters, employment contracts and new hire packs and support onboarding
- Create new HR files for all new employees
- Obtain references for all new hires within 3 months of them joining
- Issue benefit information to new joiners (Pension and BUPA). Administer all paperwork when employee joins the schemes, ensuring the correct information is passed to payroll, the brokers and staff accurately
- Complete new hire process, ensuring relevant stakeholders are informed
- Proactively track completion of probationary reviews and probation confirmation letters
- Update and publish Organisation Charts monthly following the payroll deadline
- Complete reference requests (e.g. for visas, mortgage requests, employment status)

Knowledge and Skills:
Essential:
- Previous experience in an administration role
- Exceptional communication skills, clear & precise communication at all levels of the organisation
- Excellent verbal & written English
- High level of confidentiality & discretion
- Excellent organisational skills with the ability to effectively prioritise work load, multi-task and meet deadlines
- Must have a friendly, approachable manner
- Able to work under pressure with the ability to remain calm.
- Excellent computer skills, competent use of Microsoft Office is essential
Desirable
- Previous experience as an administrator from a HR / Recruitment environment
- Previous Executive Assistant experience is preferable.
Qualifications:
- Educated to higher education level or equivalent relevant qualifications.
- Previous experience working in a dynamic fast paced corporation at Executive Assistant level.
