Talent & Culture / HR Coordinator
You are a multi-tasker and are able to work independently, performing a wide range of complex and confidential administrative duties to support your team. You communicate well with all contacts, anticipate and resolve issues, and update team your various projects. 
. Responsibilities will include all administrative tasks related to Human Resources.

What you will be doing:

Organize and implement administrative systems & procedures, and perform necessary support duties. Serve as a principal source of information for the team. 

Prepare and maintain your department’s records. Assists in the preparation of payroll. 
Assist the department in the day-to-day operation as required.  Foster and promote positive Colleague relations through an environment that encourages open communication, trust and mutual respect.

Ensure the department complies with all corporate, regional and hotel policies and procedures; and governmental regulations pertaining to all colleagues. Handle the calendar and administration assistance for the department leaders. Schedule and arrange appointments as required. 

Prioritize all telephone calls and in-person external and internal visitors. Handle locker requests, name badges, ID’s, Colleague letters, purchase requisitions, expense reports as necessary. 

Compose correspondence for the department, such as letters, contracts, etc. Support internal projects, tracking necessary action and updating reports as progress is made. Filing Employee records.

Handle all office administration duties such as faxes, mail, phones, photocopying, office supplies. Assist with and support colleague events as appropriate, such as leadership meetings, colleague receptions, and annual events

Assist with scheduling of interviews. Prepares Offer Letters and Recognition letters for Internal promotions and transfers

Manage the Human Resources Information System ensuring data integrity and proper documentation (adding new colleagues, salary, designation changes). Manage Employee Action Forms, ensuring accuracy with regards to vacation entitlements and promotions and salary changes.

Assist with the Colleague Review performance tracking and communication to Leaders. Responsible for monthly invoices, monthly timesheets and adding e-mail accounts for new Colleagues.

Maintain and communicate the HR Weekly Status Change report. Maintain attendance in compliance with Fairmont Standards, as required by scheduling which will vary according to the needs of the hotel, and may include evenings, weekends and holidays.

Maintain high standards of personal appearance and grooming, which include adhering to the proper dress code and wearing nametag while working.Comply at all times with Fairmont standards and regulations to encourage safe and efficient hotel operations.. 

Ensures bulletin boards and electronic employee communication devices contain fresh, interesting, timely and accurate information.Supports the Service Plus Committee, including committee membership, meeting times and follow-up activities, coordinates administrative aspect of committee as needed.

Participates in the recruitment and selection process by conducting screening, coordinating follow up interviews, conducting reference checks, ensuring proper documentation of offers as directed by Recruitment Manager, attends job fairs and recruitment trips as required.

Assists the Learning/ Training function by conducting the Colleague Orientation Program, and delivering other Training seminars when appropriate 

Your experience and skills include:

Excellent interpersonal and communication skills. Ability to prioritize work in an environment with multiple interests. Ability to handle complex and confidential information with discretion

College degree preferred or a Minimum of 2 years administration experience, preferably within a hotel environment.

Highly responsible and able to handle confidential information with the utmost discretion. Highly organized and able to prioritize and meet deadlines in a fast-paced environment. Ability to remain calm and focused in a busy environment.

Professional telephone manner and demeanor with a natural response to ‘smile’ on the phone.Excellent interpersonal, written and verbal communication skills (composing faxes, letters).

Must be able to type a minimum of 50 wpm . Computer literacy a must, with a strong knowledge of Word, Excel, Word, Outlook and PowerPoint.

Strong analytical skills and ability to handle problems in the workplace, including anticipating, preventing, identifying, and solving problems as necessary. Must be effective at listening to, understanding, and clarifying the concerns and issues raised by coworkers and guests.
