Talent Shared Services Payroll and Benefits Administration Lead

Job Description

Responsible for the payroll and benefits process end to end for all employee data including new joiners, changes and separations.

Administer and understand the entire payroll and benefits process including:

  • Coordinate and capture data in accordance to the process followed between HR, Benefits, Talent and Payroll
  • To ensure that all payroll files for all new joiners, leavers and job information changes are ready for submission to payroll as per the timelines
  • Ensure the payroll files are checked for completeness prior to submission to payroll
  • Administer bulk processing for all payroll related processes
  • Understand and collaborate with the Core HR processes with the TSS (on-shore) and the GDS
  • Assist and support the benefits manager as required for all new joiner, leavers and changes to employee benefits.
  • Be the point of contact for all payroll and benefits related activities including:
    • Collaborate with the GDS on all payroll related data
    • Liaise with 3rd party vendors on employee payroll and benefits administration
    • Raise escalations in Service NOW  
    • Liaise with the GDS centre on monthly payroll file reviews and improve on processes
    • Assist with IRP 5 queries
    • Assist with mock payslips as required
    • Reconcile Long Leave of Absence records recorded in Success Factors and SAGE
    • Draw on reports and reconcile HR and Payroll data to check for accuracy and action corrections by following the necessary protocols
    • Administer all payroll input accurately in order to minimise and manage risk
    • Assist with new joiners on boarding and benefits activations  
    • Assist and coordinate the payroll review process on a monthly basis with the TSS, Payroll and Talent teams
    • Liaise with the Talent and Recruitment teams deadlines
    • Assist with projects where needed such as data audits, annual benefits revision, graduate intake etc
    • Prepare bulk files for uploads
    • Teaming with the Core HR team to ensure that the new joiner, leavers or employee data changes are actioned
    • Manage the payroll data on a month to month basis to ensure that all employee data which impacts payroll is correctly captured on the payroll system. This is done through checking variances month on month and investigations
    • Trouble shoot all payroll and benefits queries on SNOW
    • Liaising with the Core HR team around data for new joiners, separations or transfers
  •   Generate ideas on how to improve payroll and benefits processes, through innovation and tools
  •    Provide training where required on systems and processes
  •    Supervise and check work as required within the shared services centre
  •   Adhere to turnaround and service level agreements

Qualifications and Experience

  • Grade 12
  • Relevant Diploma/ Certificate
  • Minimum 3 years Payroll/Benefits Administration in a Contact/Call Centre experience
