Job Description

This role provides proactive and a range of administrative and general services to the office in reception, central office services, visitors and travel management. He/she also provides team support to the People & Organisation team which ultimately creates an optimal office environment that supports the business objectives of the Anglo American Resources Trading (China) Co. Ltd.

  • Responsible for the receptionist work, incoming/outgoing calls and visitor’s registration, office access cards registration and distribution, provide reliable service to company’s internal and external visitors
  • Manage document/courier collection and distribution, in-city express delivery, stationery supply and pantry management. Visa support for company internal visitors: Invitation Letter preparations and other logistics support required
  • Travel management: arrange business travels, logistics, including visas, air and train tickets, hotel reservation, etc.
  • Manage the meeting room reservation and ensure all reservations are posted. Manage the weekly visitor monitoring and report. Provide office and travel safety management
  • Manage safety induction for visitors, office internal safety inspections and other safety related protocols. Manage external supplies and vendors in safety and travel services
  • Responsible for liaison with Building Management to keep office in good order. Monitor building provided equipment & service and make clear and effective communication between landlord and all employees for any building related information.
  • Implement office and central service’s improvement projects & enhancements. Coordinate with office suppliers to ensure all the office supplies in good operation
  • Manage monthly payment requests for office bills and SAP Concur and KYC/Masterdata applications. Manage procurement and monitoring of stationery, office supplies, employee badges and etc.
  • As first person of contact, liaise with vendors & suppliers to ensure service and cost effectiveness. Provide team support for office events and activities, senior executive visits, trainings, customer and external stakeholder events

Qualifications

  • Well organised, agile and enjoy the administrative challenges of supporting a growing office of diverse functions and multi-tasks
  • High level of fluency in English competency in both speaking and writing
  • Competent in computer literacy in Microsoft Office applications, etc.
  • Bachelor of Administration/Languages/Business related degrees
  • Extensive practical experience in a role and context of similar complexity
