Objective of Job
- Provide administrative and business support to BU Directors or DMT CEO office
- Communicate and coordinate with other departments and external stakeholders
- Manage various team topics and strengthen team solidarity
Task Description
HR Team Assistant
1. Daily secretarial support
- Provide professional secretarial and administrative support to Director: such as meeting appointments planning & scheduling; business trip arrangement and expense reimbursement; business guests visiting arranging etc.
2. Daily Business Support
- Draft department meeting agenda and topics, organise department meeting and follow up on defined tasks;
- Monitor HR Departmental projects, keep the director informed and ensure all the projects to be finished within timeline and scope;
- Review documentation for signature process;
- Follow up purchasing requests from teams and communicate with IPS colleagues to ensure the funding for the procurement;
- Other support like newcomers/interns’ facilities arrangement, office moving/relocation projects etc.
3. Department administrative support and cross-functional coordination
- Facilitate communication and coordination with direct-reports for various business needs;
- Channel information within the department and organize department-level events and activities;
- Support company-wide events like Townhall, trainings initiated by HR etc.;
- Other assignment given by Director.
Support to DMT CEO Office
1. DMT chop and license management
- Review & approve chop or license applications in the system to ensure compliance with policy;
- Update business license and other related licenses per requirement and in line with license policy;
- Follow up on annual chop audit findings etc.
2. Signature follow up
- Review documentation and department approvals for signature process;
- Follow up on signature collection and send to archive. Including the signature collection of DMT CEO/DMT BoS/DMT BoD.
3. Other administrative support
- Act as a channel to governmental related topics; e.g. contact Person for MOFCOM surveys; government report filling etc.;
- Support on DMT IT regular outsourcer performance review;
- Handle rental and property management fee payment;
- Archiving important documents to DMT CEO folder;
4. Other ad hoc tasks assigned by DMT CEO
