General Accountability:
The Asia Procurement team is responsible for creating, leading and coordinating the strategic sourcing and category management activities that drive the strategic procurement activities with Asia Division, working closely with the Strategic Procurement Office. The Procurement specialist will support the Asia Procurement team in Asia cross-functional efforts to execute sourcing events and manage the contractual aspects linked to these initiatives.
Responsibilities:
Managing the procurement Requests:
- Ensure Asia Procurement team and appropriate correspondent are informed of a new Projects/Initiatives or an existing contract / amendment;
- Identify Pre-qualified vendors and review the terms and conditions already negotiated and defined in MSA, including the SOW templates to be used for the project.
- Manage the RFI/RFQ/RFP process for Low risk requests;
- Update Intake tool to reflect authorized vendor status;
- Ensure effective written communication with vendor / Business Units during the RFX process;
- Ensure company compliance policies/standards/business procedures/documentation requirements are adhered to;
Savings Monitoring
- Track and calculate the savings for each project managed using the agreed methodology between Asia Procurement and stakeholders
- Report the savings and monitor against the estimated savings
Asia Regional Contract Management
· Contact Accounts Payable for vendor’s tax status and ensures compliance with all applicable tax regulations; · Confirm contract signee has the required commitment authority as per the Payment, Commitment and Banking Authority (PCBA) policy;
- Ensure the contracts are signed either through hard copies or through eSigning (Docusign);
- Contact Asia Procurement in advance of the expiration of a contract (Initial term and Renewal terms);
- Maintain continuous communication with Legal function to ensure proper contract termination.
Knowledge / Education Required :
- 4+ years of experience in procurement, sourcing, contract management and/or vendor management roles
- Minimum 3 years of working in Asia region and virtual environments
- Experience working in international companies
- Graduate degree in procurement, business or finance
- Solid knowledge of procurement, vendor management and contractual best practices
- Excellent written and spoken command of English Commitment to execute within agreed governance
