Job Description
Responsibilities
- Answering telephone calls, responding to queries, and replying to emails.
- Preparing and settle company expenses and bills.
- Managing office supplies and ordering new supplies as needed.
- Systematically filing important company documents.
- Forwarding all correspondence, such as letters and packages, to staff members.
- Scheduling meetings and booking conference rooms.
- Assisting in various daily operations.
- Hiring maintenance vendors to repair or replace damaged office equipment.
- Updates and maintaining websites (knowledge about Wordpress)
- Greeting guests and visitors.
- Assist with the recruitment process by identifying candidates, performing reference checks and issuing employment contracts.
- Assist with performance management procedures.
- Complete termination paperwork and exit interviews.
- Assisting with recruitment need for job postings and interviews.
- Contributes to team effort by accomplishing related results as needed.
- Perform orientations and update records of new staff.
- Prepares employee separation notices and related documentation, and conducts exit interviews to determine reasons behind separations.
- Documents financial transactions by entering account information and reconciles transactions (knowledge about Xero)
- Maintains office services by organizing office operations and procedures, preparing payroll, controlling correspondence.
- Preparing checks, deposits, budgets, and financial reports.
- Invoice issuing and processing order payments.
- Creating periodic reports, such as balance sheets, profit & loss statements, etc.
Requirements
- Bachelor / LCCI Level II or above in Accounting or related disciplines
- Minimum 5 years of solid experience in accounting and administration field
- Familiar with Hong Kong labor law
- Good team player with positive working attitude, initiative and able to work independently
- Excellent in both spoken and written English and Chinese / Mandarin
- Proficiency in MS Office, Xero, and Wordpress
- Work period 3.5 months (target between 11 May 2020 to 31 August 2020), it may adjust the work dates +/-1week early /late if necessary
