Job Description

Responsibilities

  • Answering telephone calls, responding to queries, and replying to emails.
  • Preparing and settle company expenses and bills.
  • Managing office supplies and ordering new supplies as needed.
  • Systematically filing important company documents.
  • Forwarding all correspondence, such as letters and packages, to staff members.
  • Scheduling meetings and booking conference rooms.
  • Assisting in various daily operations.
  • Hiring maintenance vendors to repair or replace damaged office equipment.
  • Updates and maintaining websites (knowledge about Wordpress)
  • Greeting guests and visitors.
  • Assist with the recruitment process by identifying candidates, performing reference checks and issuing employment contracts.
  • Assist with performance management procedures.
  • Complete termination paperwork and exit interviews.
  • Assisting with recruitment need for job postings and interviews.
  • Contributes to team effort by accomplishing related results as needed.
  • Perform orientations and update records of new staff.
  • Prepares employee separation notices and related documentation, and conducts exit interviews to determine reasons behind separations.
  • Documents financial transactions by entering account information and reconciles transactions (knowledge about Xero)
  • Maintains office services by organizing office operations and procedures, preparing payroll, controlling correspondence.
  • Preparing checks, deposits, budgets, and financial reports.
  • Invoice issuing and processing order payments.
  • Creating periodic reports, such as balance sheets, profit & loss statements, etc.

Requirements

  • Bachelor / LCCI Level II or above in Accounting or related disciplines 
  • Minimum 5 years of solid experience in accounting and administration field 
  • Familiar with Hong Kong labor law
  • Good team player with positive working attitude, initiative and able to work independently
  • Excellent in both spoken and written English and Chinese / Mandarin
  • Proficiency in MS Office, Xero, and Wordpress
  • Work period 3.5 months (target between 11 May 2020 to 31 August 2020), it may adjust the work dates +/-1week early /late if necessary
