As a Business Support Coordinator in Late Oncology, you will use your excellent organisational skills to enable Project Teams to focus on science to deliver medicines to patients. Working alongside the Clinical Lead and Project Managers, you will provide high quality 1:1 support and project administration to enable the successful delivery of cross functional projects.

You’ll play a key role in bringing the Project Teams together, with responsibility for meeting preparation such as scheduling global project meetings, coordinating the agenda and working with presenters to collate meeting information. In addition, you will ensure that all project documentation is available within the central repository (SPOL) and filed in a consistent way across projects.

You will demonstrate the ability to work with a high degree of independence, flexibility and responsiveness to changes in customer and stakeholder demands. This is a varied role where you will have multiple and rapidly changing priorities. This will require you to use your initiative and actively resolve any issues and challenges.

Your focus

  • Delivering a wide range of professional administrative services for their customers, this includes dealing with sensitive information with confidentiality, discretion, and diplomacy
  • Providing a 1:1 administrative support including calendar management, travel bookings, expenses management
  • Provide project support and administration to cross-functional project teams and non-drug project teams in close collaboration with project managers
  • Managing project team meeting logistics (eg project team calendar, scheduling, room bookings, logistics, VC setup, slide sharing)
  • Lead and coordinate logistics relating to face-to-face meetings
  • Information management (eg Sharepoint management, storing of minutes, presentations) according to best practices for project teams
  • Create and maintain project team distribution lists
  • Drafting of drug project/non-drug project meeting minutes
  • Preparation of project budget reports (PLANIT and Tableau reports)
  • Preparation of team communications and newsletters
  • Working collaboratively with project managers and other project members to deliver a lean, consistent and professional support

This role is offered on a 12 month fixed term contract / secondment opportunity.

Your experience

  • Administration in a global / corporate company
  • Global team-working and communicating across cultures with key stakeholders
  • Strong organisation and forward-planning skills, with attention to detail
  • Use of Microsoft Office/ Outlook and SharePoint Online with demonstrated proficiency with a variety of virtual meeting technologies
  • Have worked in a fast-paced global environment balancing competing priorities
  • Providing high quality, professional support service, working proactively and independently without day to day direction.
  • Ability to format documents for consistent, professional appearance and experience handling sensitive information in a confidential and discrete manner.
  • Demonstrate flexibility and adaptability to meet changing business demands.
  • Create and maintain systems for efficiency for both self and others

Excellent additions

  • Worked in a Pharmaceutical/ Drug Development environment
  • Relevant professional qualification in administrative skills
  • Knowledge of the drug development process
  • Worked with project management and/or in support of drug project teams
  • Managed SharePoint Online sites including creating and managing permission groups, creating new sites, and adding design elements
