Job Description

An Kitchen Secretary is responsible for kitchen administrative ensuringthe high efficiencymanagement ofKitchenOffice. Manage administrative systems ofKitchenDepartment and keep all files and data

What will I be doing?

1.Perform secretarial services tothe Executive Chef and maintain a smooth internal administration of thedepartment.

2.Create and maintain a proper andaccessible filling system.

3.Maintain smooth and opencommunication with all outlet chefs and other departments.

4.Ensuring all incomingcorrespondence are forwarded to the respective chefs upon immediate receipts.

5.Handling all incoming andoutgoing telephone calls for the Executive Chef.

6.Must focus on constantimprovement of Training Manuals and SOP’s

7.May be asked to participate inDaily Quality initiatives (Daily Chef Briefings, Monthly Team Meetings) inorder to constantly improve the Culinary operation, meet targets and keepcommunication flowing.

8.Can be asked to work for off siteadmin duties.

9.Can be asked to complete tasksand jobs outside the kitchen areas.

10.Canbe utilized during inventories.

11.Preparationof menus as per request, in timely fashion.

12.Willingnessto learn and adapt to changes

14.Maintainat all times a professional and positive attitude towards his colleagues, andsupervisors alike, and behave in accordance to the established hotel rules andemployee handbook. To ensure smooth operation of the department.

15.Coordinate,organize, follow-up and participate in all administration pertaining to thekitchen.

16.Keepsdiscipline and proper work practices for herself at all times. Also checks onpersonal hygiene and clean uniforms. Reports to the Chef on any problems totake appropriate actions.

17.Followup on any changes in new recipes or work methods pertaining to any new menus,daily specials, and promotional activities as per instructions given by theChef.

18.Handleall daily office matters relating to the department.

19.Toensure Banquet Event Order from Banquet / Event Sales department are correct;thereafter make copies for respective outlets.

20.WeeklyLabour Forecast – to collate and key in forecast figures and actual figures forall outlets.

21.Monthlyattendance records – to collate and key in actual figures for all outlets.

22.OrganizeMonthly Communication Briefing at stipulated meeting room.

23.Toprint out relevant emails relating to kitchen, training etc and disseminate torespective outlets.

24.Vouchers– casual labour, petty cash (inclusive of medical claims), taxi claim andmedical certificates.

25.Allvouchers to be approved by Executive Chef thereafter submit to the DO officefor approval by Director of Operations.

26.Collectionof daily revenues and brief from the pigeon hole at GM office every morning

27.To ensure that all team members have a completeunderstanding of and adhere to the Hotel’s Team member Rules and Regulations.

28.Themanagement reserves the right to change / extend this job description ifnecessary at any point of time during her / his employment.

29.Carries out any other reasonable duties and responsibilitiesas assigned.

  • College Degree or Equivalent,Major in Secretary.
  • 2-5 years as Administrator /Prior Secretarial work experience.
  • Knowledge of kitchen operation and additional language

  • Knowledge in basic hygiene
