Job Description

POSITION:                               SALES COORDINATOR

DEPARTMENT:                        SALES AND MARKETING                                                                                                                    

HOURS OF SERVICE:             Full time, Monday-Friday

Reporting to the Director of Group Sales, the Sales Coordinator is responsible for the following:

RESPONSIBILITIES

  • Administrative support to Group Sales, including creating proposals, processing contracts, definite bookings and other support items as directed by Sales Managers 
  • Utilizing Opera Sales and Catering to create and execute group bookings
  • Data input of sales transactions and activities in S & C Opera
  • Assist with responding to sales leads, guest room night requests, function space and any enquiries from established and prospective clients
  • Co-ordinate amenities as needed for group, tour and leisure guests
  • Assist in the co-ordination and execution of client site inspections, FAMS and events
  • Build relationships with all relevant stakeholders: Fairmont Global Sales Office(s), The Victoria Conference Centre, Tourism Victoria, DMCs, Attractions and Offsite Venues
  • Compilation of sales account contacts and business contacts in Outlook
  • Assist in research of accounts to provide prospecting opportunities to sellers to uncover new business
  • Assist with client communication in the absence of Sales Managers
  • Complete weekly and monthly reports for the Sales department
  • Ensure adherence to Fairmont Sales standards
  • Other duties as assigned

QUALIFICATIONS

  • Minimum one year recent (in the last five years) experience in an administrative capacity or one year recent (in the last five years) experience requiring a high level of guest service involving sales interactions
  • Preference will be given to candidates with previous experience in Sales and Marketing
  • Demonstrated excellent organizational abilities, attention to detail and resourcefulness a must
  • Proven ability to remain focused in a fast paced environment with minimal supervision
  • Demonstrated a high level of responsibility and commitment
  • Demonstrated team player with proven success in relationship building
  • Impeccable grooming and presentation
  • Completely fluent English language skills and excellent communication skills; both written and verbal
  • Clear, precise, professional and helpful telephone manner
  • Passion to work with the public and colleagues in a warm, welcoming and professional manner
  • Demonstrated commitment to provide excellent service and exceed guests' expectations
  • Proficient administrative abilities
  • Proficient in Outlook, Microsoft Excel, Microsoft Word; previous experience with S & C Opera, Property Manager is an asset
  • Positive attitude
