DESCRIPTION

The role of Executive Assistant provides a consistent level of high quality support to an Executive in the country for both long-term projects and day to day activities ensuring the smooth running of his aria of responsibility. The EA also provides support to the 3 first-line managers of the Executive, performing some tasks for them so they can focus on their team and accounts.

RESPONSIBILITIES

  • Operate effectively and efficiently in a fast-paced, dynamic work environment
  • To provide a consistently high level of quality personal assistant support
    • Complex calendar management, including preparation for all meetings and calls
    • Before the pandemic, it was required to make complex travel arrangements and anticipate the needs of the executive whilst travelling. During the last years, this is not a task, and it is not expected it will be, but this could change.
  • Closely selecting, and prioritizing emails, including drafting responses and delegating/following up actions accordingly
  • To act as the first point of contact for the executive, internally and externally, filtering and directing communications & enquires as appropriate
  • Manage and co-ordinate activities, quarterly management meetings, conference calls, etc.
  • General EA and administrative duties e.g. filing emails, expense processing, purchase orders, etc.  
  • It can be a job for 32 or 36 hours a week.

REQUIRED SKILLS/EXPERIENCE

  • The ideal candidate will be dynamic, energetic and creative and have worked in an (executive) administrative capacity with proven experience
  • Must possess a flexible attitude towards the role with a high level of personal adaptability.
  • Ability to work in a multi cultural environment 
  • Experience within a professional, highly dynamic business culture
  • Experience working within a Large Corporate organisation
  • Excellent English language skills.
  • Proactive thinker who can anticipate the executive’s requirements.
  • Ability to think ahead and anticipate requirements according to the situation
  • Outstanding interpersonal and communications skills
  • Experienced in organizing complex international travel arrangements, creating comprehensive travel itineraries and anticipating the needs of the Sales Director whilst travelling.
  • Outstanding organizational and administrative skills
  • Willing to work as part of a team but equally comfortable working independently
  • Highly motivated self-starter able to work with minimal supervision to complete assigned tasks.
  • Ability to multi-task; managing numerous requests and task in an accurate and timely manner.
  • High level of attention to detail
  • Level-headed, equable and able to prioritise and work under pressure
  • Resilient and flexible to adapt to changing situations and circumstances
  • Excellent MS computing skills: Word, Excel, PowerPoint, Outlook
  • Ability to deal professionally with confidential information  
  • Able to minute meetings and/or calls as required
