Job Description
Job Description and Responsibility
  • Manager in-house room booking system, prioritize bookings to maximize usage of resources
  • Coordinate events' schedule and venue availability, provide logical suggestions and support for booking internal or external venues
  • Coordinate events' arrangement including set up, manpower support, refreshment, budget, billing and delivery of materials
  • Support event on-site operation, check-in guests, handle enquiries, etc
  • Coordinate document and parcels delivery between various offices in Hong Kong and oversea
  • Assist with preparation of business correspondence, presentation materials, department monthly e-news and reports
  • Manage vendors' relationship. Perform Purchase Request in system, review invoices, arrange payment
  • Assist the Manager to conduct regular review on vendor's performance. Perform contract negotiation and renewal
  • Assist the Manager and project team with office renovation and facility enhancement whenever required
  • Monitor and update department budget and forecast.
  • Prepare for ISO audit and internal practice review
  • Assist in formulating and reviewing administration policies & procedures.
  • Handle administration work and ad-hoc projects as assigned

 

Requirement
  • Diploma graduate or above
  • Minimum 5 years' experience in office administration / secretarial support / customer service or hospitality
  • Good interpersonal and communication skills to ensure good rapport with clients, business lines and support functions
  • Proactive, well-organized, attention to details. Can work independently and as a good team player
  • Fluent in written and spoken English, Cantonese and Mandarin
  • Good command of Microsoft Office including Outlook, Word, Excel and Power point
