Job Description
Reporting to the Director of Sales and Marketing and working closely with the Director of Group Sales, Revenue Management and Catering and Conference Services, the Sales & Catering Coordinator, is responsible for the below. Primary focus is Group Sales and administrative support to the Director of Sales & Marketing and Revenue Management. Catering responsibilities may be added depending on workload.
RESPONSIBILITIES
- Circulation of Banquet Event orders, add-ons, revisions & change log report
- Coordinating Hotel & VCC one day event
- Administrative support & back-up to the Event Services Manager, Event Sales Manager & Wedding Sales Manager
- Administrative support for Event Managers
- Shared responsibility of office coverage when required i.e.) answering phones and general inquiries
- Coordination of weddings including tastings, time lines, BEOs and resumes
- Forecasting revenues for all events
- Assume client responsibility in the absence of Event Managers
- Reviewing reservations, preparing amenities for VIP guests Event clients, and assist with itineraries
- Fostering an excellent working relationship with the event operations, culinary and stewarding teams.
- Administrative assistant to the Director, Event Sales & Services including collecting data for forecast & weekly revenue reports, Trust You reports and CS&C Month-End data for corporate reporting.
- Monitor and update the banquet website as required.
- Update S&C menus as required.
- Coordinating internal meeting & event bookings
- Assist with conducting site visits for existing and prospective Clients
- Other duties as assigned by the Director of Event Sales & Services
QUALIFICATIONS
- A minimum of two years experience in an administrative capacity (preferably sales/service/F&B) and customer contact environment, during which time a high level of guest service has consistently been shown
- Strong verbal and written communications and presentation skills
- Proven organizational skills with special attention to detail
- Post-secondary education with a degree and/or diploma in Hotel Management or Business or equivalent experience
- Proficient in Microsoft Office (Word, Outlook, Excel), and full working knowledge of S&C Opera and Property Manager is an asset
- Typing speed of 50wpm
- Complete fluent English language skills and excellent communication skills; both written and verbal
- Previous experience as a Sales or Event coordinator is an asset
- A high level of responsibility, commitment and willing to take initiative
- Excellent organizational skills, attention to detail and proven problem solving abilities
- Capability of remaining focused in a fast paced environment with minimal supervision
- Team player with proven success in relationship building

- Impeccable grooming and presentation
