Job Description
The role of Executive Assistant is to provide a consistent level of high quality support to the Leadership team across Western Europe in our Mid-Market organisation. The Executive Assistant will support both long-term projects and day to day activities ensuring the smooth running of the Leadership teams' responsibilities. S/He will work across all Lines of Business within Oracle and with external parties as appropriate e.g. clients/partners/suppliers
 
 
 
 
 

 

Main Responsibilities:

  • Operate effectively and efficiently in a fast-paced, dynamic work environment
  • To provide a consistently high level of quality personal assistant support to the Leadership team
    • Calendar management, including preparation for all meetings and calls
    • Making complex travel arrangements and anticipating the needs of the Sales Leaders whilst travelling
  • To act as the first point of contact for the Leadership team, internally and externally, filtering and directing communications & enquires as appropriate
  • Manage and co-ordinate activities, quarterly management meetings, conference calls, etc.
  • General PA and administrative duties e.g. filing emails, expense processing, purchase orders, etc.
  • Providing administrative support to the wider management team and sales reps – generating and editing PowerPoint presentations, managing excel spreadsheets and following the new starters and leavers processes as required

  • Holds excellent interpersonal, organizational, communication and administrative skills
  • Must possess a flexible attitude towards the role with a high level of personal adaptability.
  • Ability to work in a multi cultural environment
  • Fluent English essential.
  • Proactive thinker who can anticipate the Leadership team’s requirements.
  • Experienced in organizing complex international travel arrangements, creating comprehensive travel itineraries ]
  • Excellent organizational, communication and administrative skills
  • Willing to work as part of a team but equally comfortable working independently
  • Highly motivated self-starter able to work with minimal supervision to complete assigned tasks.
  • Ability to multi-task; managing numerous requests and task in an accurate and timely manner.
  • High level of attention to detail
  • Level-headed, equable and able to prioritise and work under pressure
  • Resilient and flexible to adapt to changing situations and circumstances
  • Excellent MS computing skills: Word, Excel, PowerPoint, Outlook
  • Ability to deal professionally with confidential information
  • Able to minute meetings and/or calls as required
