Executive Assistant to Consulting Vice President – Melbourne, AU
We are looking for a brilliant communicator with a proven track record in working with Execs and their
teams who thrives in a high-tempo environment, loves to take initiative and can spark bold and offcentre
ideas to creatively drive our communication.
Reporting to the Vice President of Consulting, you will be an important member of the Consulting team,
supporting a customer-centred, diverse and dynamic set of people working with cutting edge
technology across industries.
This multi-dimensional role focuses on :
a. Supporting VP
Support VP, Consulting in customer interactions. This will involve in-depth research
on the industry, company and key decision makers within the client company.
Preparation of crisp, research-based industry and client backgrounders and effective
briefs for VP meetings will be a key deliverable. Create visuals and infographics for
Exec presentations.
Supporting in scheduling meetings in Microsoft Outlook, calendar management,
processing expense reports and travel requests.
Compiling information and organising Consulting Townhalls and team social events,
organising regular team-building exercises (including rotating engagement with
broader Team OC with VP, coffee roulette for team members across the OC org).
b. Supporting Business Engagement Team
Work hand in glove with Business Engagement Lead (Comms & Change) to
implement / organise initiatives to support operationalising the strategizing &
content.
c. Supporting New Starters and OC Team
Organising onboarding of new starters and Induction.
On-boarding new hires, arranging new items, IT support, welcoming them to the
team and training them on policies and procedures.
Organising team recognition Badges / Certificates, organising compliance approvals,
purchase order requests, track team assets.
Supporting OC management team and other leads with logistics and other support

Provides programs to improve operational efficiency, consistency, and compliance in support of the organization*s financial and tactical business objectives. Provides business practices and processes. Develops, communicates, and trains the organization on business practices and processes.Serve as a liaison with other divisions such as Finance, Contracts, HR, Legal, Shared Services, Accounts Receivable, Purchasing, and Risk Management in an effort to ensure accurate and timely transaction processing. Collect, input, verify, correct, and analyze data to measure key performance indicator actual versus business objectives. Provide updates to management regarding budget to actual, informing them of deviations and opportunities. Provide management with economic impact and compliance issues surrounding key business decisions and/or deals. Communicate Oracle Business Practices to the organization and monitor process and approvals for full compliance. Drive implementation of new processes and procedures.
Job duties are varied and complex utilizing independent judgment. May have project lead role. Attention to detail critical. Ability to collect, organize, and display data in spreadsheet format. Follow-through skills necessary to get information from internal and third parties and have data errors/omissions corrected. For this, relationship management skills strongly desired. Strong written and verbal communication skills to interact with management and possible clients desired. 5 plus years relevant work experience.
