Executive Assistant
The Executive Assistant will be responsible for performing high-level administrative assistance for the Regional Senior Director.
You must be a strong multi-tasker with initiative and a very positive service attitude. You will bring excellent communication and organization skills and experience in interfacing with internal and external executives, preferably in software development or technology centered departments.
You will provide administrative support as a facilitator and liaison, handling details of a confidential and critical nature and exercising judgment in order to proactively address requests and ensure an efficiently functioning business unit.
Responsibilities:
· Provide administrative/clerical support within any of a variety of departments. Support Regional Senior Director.
· Proactively manage executives' calendars, anticipating and resolving conflicts.
· Schedule, plan, and coordinate events and meetings including preparation of meeting materials.
· Correspond/coordinate with high-profile contacts and company executives.
· Effectively manage complex domestic and international travel.
· Manage processing of executive and department expenses.
· Greet visitors, screen phone calls, and review correspondence, using discretion to direct items to the appropriate staff for action.
· Organize and maintain confidential files and records.
· Assist in the preparation of reports, graphs, and presentations using spreadsheet and graphic software.
· Maintain organization charts and distribution lists. Create spreadsheet models for forecasting. Implement space planning and group moves.
· Monitor phones and voicemail systems and answers or re-directs calls. Pro-actively escalate issues requiring immediate attention.
Qualifications:
· The ideal candidate will be dynamic, energetic and have worked in an executive administrative capacity with proven experience
· Proactive self-starter who anticipates and takes initiative on executives' needs and can independently plan and manage work
· Ability to learn new technology/systems quickly
· Exceptional organizational and project management skills; excellent ability to manage multiple tasks and projects simultaneously
· Must be high energy and thrive as part of a motivated, fast moving team; flexibility to respond when executive is traveling or preparing for important meetings
· Possesses a high level of personal integrity, and uses discretion to maintain confidentiality
· Possesses the poise and outstanding interpersonal skills to represent Regional Senior Director to other departmental leaders and high-profile contacts
· Ability to think ahead and anticipate requirements according to the situation
· Outstanding interpersonal and communications skills
· Fluent English and Mandarin speaker.
· Must have a minimum of 5 years' experience assisting senior executives.
· Excellent technology skills and advanced level expertise with MS Office (Word, Excel, and especially PowerPoint)
